This role is to support the mission of the HLA lab through administrative management of regulatory survey preparation, (CAP and ASHI), department budgets, reference laboratory billing, contracts, oversight of clerical staff. Provides oversight for the MUD (Matched Unrelated Donor) Program. In addition, provide systems support for Histotrac, the HLA lab computer systems. This position functions as an administrative Lab Manager.

As a successful candidate, you will:
  • MUD (Matched Unrelated Donor) Program
    • Function as a business lead with full accountability.
    • Update/implement systems and processes as required for a go-live date of September 2010. Will define new processes, actively seek efficiencies and automate as needed. Provide administrative oversight for the MUD Search Technologists. Will train new staff to ensure program success.
  • Clerical Management
    • Manage clerical staff
  • Histotrac Systems Coordinator (Billing)
    • Monitor and maintain billing matrix for COH and reference lab including update of CDM (HLA, CPT codes), price changes, addition of new tests, troubleshoot exceptions, charge issues, HIPAA security.
  • Histotrac Systems Coordinator (Lab)
    • Troubleshoot system issues for users. Oversee design, development and implementation of new and existing interfaced third-party systems and enhancements.
  • C IS
    • Support CIS project - Histotrac testing for interface to Eclipsys, Member of UAT and Clinical Workflow Team
  • Administration/ Budget
    • Determination of supply volumes, pricing, and determination of amount needed for next budget. In addition, evaluates staffing needs (overtime, vacancies, evaluation). Significant role in developing size of annual raises annually.
    • Monitoring monthly expenditures to conform and/or meet budget goals on a monthly and annual basis.
    • Total HLA annual expense budget is ~$2,000,000.
    • Revenue form all sources is ~$6,000,000
  • Administration/ Facilities Operations &Space Management
    • Purchase of equipment: Negotiates with vendors for best pricing, maintenance contracts, and reagent prices.
    • Determines physical site availability for new equipment and personnel.
    • Responsible for overseeing that repairs are performed as quickly as possible.
    • The yearly purchasing budget by HLA that this incumbent oversees is 80%
  • Administration/ Policies & Procedures
    • Maintain policies and procedures that meet CAP, JCAHO, ASHI and other regulatory agencies.
  • Administration/ Contracts
    • Contract management for COH lab and reference lab clients. Manages pricing,timing of preventive maintainence, and most importantly renewals (NO CONTRACT - NO SERVICE OR REPAIRS)
  • Administration/ Statistics
    • Gather statistical data when appropriate; prepare flow charts and graphs for business development, billing, quality control, meetings.




Your qualifications should include:
  • Bachelor's Degree.
  • 3-5 years experience with related administrative and project management responsibility, including experience implementing and managing technology applications.
  • Minimum of 3 years experience in a hospital or laboratory environment. Understanding of healthcare and/or laboratory operations.
  • Preferably : Masters degree in Leadership and Organizational studies a plus, MBA preferred.
