PRIMARY FUNCTION :

The Business Operations Manager is responsible for ensuring all systems operate smoothly and align with divisional and enterprise organizational goals (Finance & Operations, Quality). They are responsible for critical functions within the department, including invoicing, contracting, website updates, data management, EMR, and other participant databases. policy, procedure and workflow development and integration. They perform administrative and financial analytical functions in support of the Director of Operations and senior leadership.

The Business Operations Manager leverages strong communication, analytical, quality, and process improvement, and project management skills to identify, design, produce, distribute, and maintain solutions to support division goals, target metrics, and apply best practices to drive operational transformation. They have the ability to respond quickly to changing needs and adjust initiatives and priorities accordingly.

Activities
  • Create and oversees workflow for processing and reporting for accounts payable and receivable
  • Oversee contract management process, managing the ONIT platform, serving as liaison between legal services and contracts department
  • Manage the Community Impact website in collaboration with Jefferson Marketing, serving as a liaison between department leaders and Jefferson website to ensure website is current.
  • Oversee data management and reporting process and workflow and serve as lead on all data management and operations systems including Epic, Qlik, Red Cap, FindHelp, ONIT, People Soft
  • Oversee Community Impact project and program and workflow interface with EPIC
  • Create and manage workflow for all Community Impact projects including interface between division and enterprise projects
  • Maximize the efficiency of all operations procedures
  • Prepare monthly financial and program reports for leadership in collaboration with project managers and other key staff
  • Implement key performance indictors (KPIs) identified by leadership and conduct quality assessments. Develop, prepare, and maintain departmental scorecards.
  • Reviews, analyzes, and performs monthly reconciliation of all financial statements and accounts in the department. Review monthly statements. Analyze and report variances to budget and prior year, as applicable. Identify expense trends. Provide summary data to department leadership on a regular basis.
  • Provide assistance to senior management on developing and implementing specific programs, products, services, and budgets.
  • Coordinate with the HR department to ensure hiring plans meet business needs.
  • Interface with the Epic@Jeff Analysts and IS&T Team to ensure timely resolution of issues to ensure continuity of all operating platforms.
  • Collaborate with divisional leadership to identify process improvement strategies.
  • Develop and maintain new policies and procedures relative to department operations.
  • Assist with the preparation of the annual operating and capital budgets.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions:
  • Performs duties in an independent manner based on guidelines set by supervision.
  • Participates in special projects or other duties as assigned.


Qualifications

EDUCATION:
Bachelor's Degree Required. MHA, MBA, MSN or other healhcare related area preferred.

Professional Certifications, Memberships, Licenses:
Lean Six Sigma and/or Project Management Required Or obtained within 18 months of hire.
