Job Description

The Business Services Assistant provides direct administrative support to both attorneys and operations staff. BSAs will be rotated through several Legal Departments and Practice Groups, gaining foundational knowledge and experience in a variety of administrative practices. A qualified candidate must be organized, exhibit a high degree of initiative and use excellent judgment when handling matters. The position requires strong verbal and written communication skills, attention to detail, a professional, team-oriented work ethic, and flexibility in availability (overtime may be required).

Principal Duties and Responsibilities (Essential Functions):

· Provide a high level of customer service to internal and external clients

· Meet/greet internal and external clients and answer and screen client telephone calls

· Schedule appointments/meetings (including Zoom/MS Teams) and maintain attorney calendars

· Book conference rooms, car services, and travel

· Create/submit expense reports (T&Es) and vendor invoices using Chrome River

· Create/submit Conflict Check Requests/New Business Memos

· Update attorney time entries, attorney contacts and attorney marketing initiatives using the relevant databases

· Create/revise documents using MS Word, Compare (“redline”) documents using Litera Compare

· Transcribe audio files using GearPlayer software

· Scan/Print/Fax/Photocopy documents

· Assist with overflow work and special projects as needed

Job Specifications:

· Hours - 9:30 am to 5:30 pm Monday through Friday

· Bachelor’s Degree required

· Proficiency with Microsoft Office required

· Must possess strong verbal and written communication skills, with specific focus on detail and customer service

· Must be:- A professional, proactive, energetic, and hardworking team player;

· Exceptionally well organized and detail oriented;

· Able to manage multiple projects in a deadline driven environment;

· Able to act with a sense of urgency when necessary;

· Willing to work overtime, including weekends and holidays when requested, potentially on short notice;

· Able to cultivate and sustain professional working relationships with attorneys and staff.

This is a hybrid role which requires in-office attendance in accordance with the schedule set forth by the department. A hybrid schedule is an essential function of this role.

Salary:

$54,000- $55,000. Paul, Weiss offers competitive compensation and benefits packages.
