Job Summary:

The Department of Medicine (DOM) is seeking a full-time Business Services Professional to serve as the first point of contact for research office programs, events, communication, and contribute to research activities to align with the Research Office's development and strategic plan. This position will provide support to the Vice Chair of Research, Principal Investigators (PI) and team members, manage project timelines, and coordinate other tasks. The position will also be engaged in translating survey data to inform the Vice Chair of Research and other stakeholders.

This Business Services Professional position provides expert coordination and administrative support for the Department of Medicine (DOM) Research Office infrastructure, initiatives, and programs designed to promote the DOM research mission. This newly created position will allow the selected candidate to learn and grow as processes are established and implemented with direct collaboration under DOM's Vice Chair of Research.

Key Responsibilities:

Research Program Coordination:

  • Day-to-day project management of research office programs and events, such as annual Research Day, monthly Research Achievement Highlights (REACH) forums, educational series, etc.
  • Logistics include managing timelines for multiple programs concurrently, scheduling meetings and rooms, preparing agendas, inviting speakers, editing bios for length and content, reimbursement gift cards for time spent for reviewers and prizes for posters, ordering catering, etc.
  • DOM Research office data collection and metrics: Developing and maintaining REDCap surveys for research programs, extracting and analyzing data from REDCap surveys, and aggregating data across databases, information sources, survey responses, and other data sources; ensuring metrics quality and consistency, and conducting descriptive analyses of project databases to produce tables, figures, and other infographics that summarize key findings for inclusion in project deliverables.
  • Draft policy documents based on the research team's input and ideas in collaboration with the Research Services Grants Manager.
  • Organize, collect materials, and format applications for national research awards.


Administrative Support:

  • Serve as a resource to the Vice Chair of Research, PIs and other stakeholders by:
  • Drafting professional emails to all research constituents, including staff, faculty, and DOM leaders.
  • Be the primary owner for the DOM Research email and calendar, including managing correspondence and calendar events/series.
  • Organize meetings for new initiatives, including collation of background documents from different sources.
  • Organize meeting minutes and action items in a timely manner.


Communications:

  • In collaboration with the Department of Medicine Communication team, develop and update marketing materials for research programs, announcements, and website.
  • Maintain and update program templates for effective and consistent internal branding and communication.


Work Location:

Hybrid - this role is eligible for a hybrid schedule of three (3) days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Senior Level:

  • A bachelor's degree in science, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
  • Two (2) years of professional level business or project administration experience.


Principal Level:

  • A bachelor's degree in science, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
  • Three (3) years of professional level business or project administration experience.


Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Two (2) or more years of research management experience with increasing responsibilities.
  • Two (2) or more years of professional level research or related experience.


Knowledge, Skills, and Abilities:

  • Ability to communicate effectively and professionally, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.
  • Demonstrated commitment and leadership ability to advance diversity and inclusion.
  • Advanced knowledge in Microsoft Suite, specifically in Excel (database management and formulae manipulation, pivot tables), Word (writing and editing documents efficiently), and managing multiple Outlook accounts.
  • Able to prioritize multiple projects and tasks to complete work quickly and accurately.
  • Ability to analyze and solve complex problems and apply qualitative and/or quantitative analytical approaches.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Familiarity with Teams, Zoom etc.
  • Must be able to work independently following training.

The starting salary range (or hiring range) for this position has been established as:

Senior Level: $58,793 - $74,784

Principal Level: $67,611 - $86,001

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
