SUMMARY

The Cardiovascular Services Scheduler completes daily functions of the diagnostic and/or point of service schedulers which includes but not limited to outpatient laboratory, imaging, interventional and/or electrophysiology procedures. The Scheduler is responsible for answering incoming calls, verifying patient information, scrubbing EP/Interventional schedules on a daily basis to ensure proper room utilization (Rooms 8,7, 9, 10, 11 & 12) and optimization of services provided in our CVIR area. Additionally, the Scheduler will be responsible for scheduling appointments and/or procedures; and should be able to directly interact with various hospital partners and patients while maintaining a patient-centered attitude with compassion. The Scheduler should aim to be part of an elite team that supports UT Southwestern operations and initiatives.

MINIMUM QUALIFICATIONS
  • Two (2) years' of experience in a medical office environment; prefer at least 1 year in healthcare scheduling; surgery scheduling experience preferred High School graduate or HS equivalent; years of college preferred.
  • Basic PC/software application skills; Radiology Information System/Scheduling applications preferred.
ESSENTIAL FUNCTIONS

Job Duties:
  • Schedules all interventional & electrophysiology procedures in accordance with established protocols, collects required patient information, and accurately communicates patient preparation instructions.
  • Completes patient pre-registration, insurance verification and patient out of pocket estimate, explaining patient out of pocket costs and UTSW pre-payment policy to patients at the time of scheduling.
  • Works closely with Management/Service Line administration to ensure efficient scheduling of all department resources.
  • Communicates timely information to the Ordering Physician's Office pertaining to outpatient scheduling conflicts, rescheduled appointments, and no shows.
  • Provides the Ordering Physician Office with a procedure appointment date/time within 24 hours for STAT requests, escalating to department leadership as appropriate. Manages Schedule Order work queues according to daily assignment, maintaining service standards for contacting patients to schedule imaging appointments.
  • Manages documents received via e-mail or electronic fax, scanning as appropriate to the electronic patient record.
  • Provides all patients with the necessary information (FAQ's & instructions) prior to their procedure (via MyChart, Secured Email, Mail) Answers all incoming phone calls in a professional manner while responding to high call volume in a timely manner, paying attention to inbound call dashboard, patient hold times and agents available.
  • Maintains readiness to work outside of normal business location as per the needs of the department to provide coverage in designated clinical locations. Attends all Lunch & Learns that are provided by the CV service line that aligns to their day-to-day functions.
  • Maintains quality, productivity and time and attendance standards as defined by manager. Participates as needed with any scheduling application upgrades and/or transitions. Performs other duties as assigned.

  • Work requires at least one year of scheduling experience.
