Our client, located in West Dundee, IL, is seeking a dedicated Administrative Support Specialist to join their team. This role is crucial in supporting operational and administrative functions across various departments, ensuring smooth processes and effective management.

Job Description:

The Administrative Support Specialist will be responsible for assisting with multiple administrative and operational tasks within the Commercial Management department. This includes managing customer supplier portals, handling Requests for Information (RFIs), and providing general support to various teams.

Key Responsibilities:
  • Review, vet, and manage the assignment and completion of Requests for Information (RFIs).
  • Oversee the maintenance and updating of Customer Supplier Portals.
  • Manage RFI support systems, including annual updates of W-9 forms, Certificates of Insurance and user management.
  • Administer Certificates of Insurance to ensure compliance and accuracy.
  • Generate and interpret reports from the RFI system and manage action items on SharePoint.
  • Provide administrative support to the Americas Management team, including coordinating meetings and preparing necessary materials.
  • Assist with organizing Sales Leader Meetings, including travel arrangements, presentations, and documentation.
  • Track and monitor open and active Non-Disclosure Agreements (NDAs) and provide status updates on projects.
  • Collaborate with Inside Sales and Marketing teams to update customer information in the CRM system, including industry classifications and corporate entity tags.

Qualifications:
  • At least five years of strong organizational skills, administrative support, contracts and project management working with deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Sharepoint, CRM and Adobe Acrobat.
  • Experience managing databases and customer portals is a plus.
  • Ability to multitask and effectively handle various responsibilities.
  • Excellent communication and interpersonal skills.
