Contract and PO Execution
Prepare contract documentation using the latest versions of templates;
Review contracts for accuracy and completeness;
Facilitate execution of contracts for Google's ATI product design team;
Process contract documents per the established Google platforms using Project
Management Tool (PMT), Google-wide contract and deals approval system
(SIMBA), procurement platform (BuyingHub) Requisitioning tool (Ariba SAP )
and Googles bug/issue tracking tool (Buganizer) - Google Platforms are subject
to change;
Monitor and track status of proposal and contract workflows, facilitating any issues
that may arise in the process;
Track and facilitate business, finance and legal approval of contracts;
Track and expedite Purchase Order (PO) approval workflow to ensure timely
Issuance;
Work with Project Management Tool administrators to resolve any issues arising
with funding allocation, expense type, account numbers, location codes, cost
codes, workflows, etc;
Address Google platform or deliverable inquiries;
Vendor Management
Track and facilitate Vendor Onboarding;
Support with Vendor system enrollments
Invoicing
Oversee issues with invoice/payment processing, tracking, and reporting for design
contracts;
Work with appropriate teams to resolve any vendor/payment issues regarding
design invoices;
Budget Management
Support the new SAP, Ariba, and cashflow systems to process all contracts and PO
executions;
Assist in cashflow and budgeting for Operating Expenses. This includes
management of Googles internal cashflow reporting tool for all products and
organization budgets;
Reconciliation and Transfer of PO/Budgets ;
Support with PO Closeout
Miscellaneous
Provide monthly updates to the teams for cashflow status and spend, including
challenges & issues;
Assist in resolving any quality issues and/or implementation towards improvement
of
processes;
Troubleshoot access related issues;
Support the Product team, as required;
Support PMT dashboards' issues;
Address other miscellaneous items that may arise in the course of daily work;
Help train new employees for Budget Funding - Contracts - POs - Vendor
Onboarding workflows and Google platforms
Monthly maintenance of organizational trackers and team resources
