POSITION SUMMARY
The Coordinator, Special Events will assist the Special Events Department in the sales and execution of successful non-baseball events at Citizens Bank Park. This individual will work with the Director, Special Events to enhance current events as well as sell, plan and execute new, revenue generating events for The Phillies.

JOB RESPONSIBILITIES
  • Assist with responding to inquiries about Special Events that come in via email, phone and website.
  • Meet with potential clients for site visits to show them potential spaces and answer questions.
  • Use sales skills to convert inquiries into booked events.
  • Work effectively with the Special Events staff, OVG 360, Aramark, other internal departments, and external vendors to successfully execute events from start to finish.
  • Create documents such as Event Agreements, Terms & Conditions, and invoices to send to clients.
  • Follow up on gathering executed contracts, payments, and other required forms from clients.
  • Complete post-event profit & loss statements.
  • Participate in the development of the department's CRM.
  • Create annual departmental PowerPoint business summary.
  • Help manage and oversee full time department intern.
  • Assist in other efforts of the department as assigned including Phillies Vacations and potential post-season hospitality.
  • Complete administrative duties and provide general support as directed.


SKILLS AND QUALIFICATIONS
  • Bachelor's Degree in a relevant field.
  • 2-3 years' experience in planning and running events; ideally with both sales and operations experience.
  • Exceptional organizational and administrative skills; ability to handle multiple projects simultaneously.
  • Demonstrated ability to effectively interact with a wide range of people and personalities - clients, internal departments, team partners and third parties.
  • Clear, concise written and verbal communication skills.
  • Ability to troubleshoot and react quickly to challenges.
  • Service oriented and customer service focused.
  • Must be available for a flexible schedule including nights, weekends, and holidays (non-standard business hours).
  • Must be available for labor-intensive projects and be able to handle moderate physical labor.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
