About the College/Unit/Department

The Georgia Museum of Art is both a university museum at the University of Georgia and, since 1982, the official state museum of art. Located on the East Campus of UGA, in the Performing and Visual Arts Complex, it opened in 1948. In 2011, it completed an extensive expansion and remodeling of its building, paid for entirely with externally raised funds, that has allowed it to display its permanent collection continually. The museum offers programming for patrons of all ages, from child to senior citizen, as well as free admission to the public for all exhibitions. It organizes its own exhibitions in-house, creates traveling exhibitions for other museums and galleries and plays host to traveling exhibitions from around the country and the globe. The museum strives, most of all, to fulfill the legacy of its founder, Alfred Heber Holbrook, and provide art for everyone, removing barriers to accessibility and seeking to foster an open, educational and inspiring environment for students, scholars and the general public.

Position Summary

The deputy director of business operations for the Georgia Museum of Art (GMOA) is part of the senior management team and is responsible for strategic planning and financial management oversight for the museum. The deputy director oversees the daily responsibilities of the business office and human resources, and provides management oversight for the security and facilities, IT, and retail, creating workflows and approval paths, and reviewing and approving transactions. The deputy director is responsible for ensuring efficiencies and completion of duties across the unit and reports concerns and issues to the director. The deputy director holds responsibilities for setting up procedures to ensure all business activities are executed with a strong discipline toward internal controls and efficiency, specifically focusing an adherence to UGA and USG policies and procedures. The deputy director acts on behalf of the director when they are not available in financial, HR, and related matters.

This position works closely with the development team to plan and execute grant proposals, grant award management, earned income, and large fundraising campaigns for the GMOA, its programs and initiatives.

The position is also responsible for overseeing the management of facility maintenance, including FMD Work Orders, and MRR requests, as well as museum security oversight. Human resource management, such as recruitment, salaries, position funding, leave management, supervisory issues, and more, are the responsibility of this position as well. This position oversees the management of the Business, Retail, IT and Security departments with several direct reports. The Deputy Director of Business Operations will work with the Director of the GMOA and department heads to ensure that financial and material resources are being allocated and managed in the most effective ways to advance the mission and strategic direction of the museum within appropriate resource levels.

Work with director of the GMOA and other department heads to ensure that financial and material resources are being managed in the most effective ways to advance the mission and strategic direction of the museum within appropriate resource levels. Provide strategic leadership in financial management, budgeting and planning, grant proposals, grant award management, earned income, and large fundraising campaigns for GMOA, its programs and initiatives.

Oversee multi-year budget planning and forecasting for the unit's budget, providing guidance to both senior and executive leadership on the short and long-term (3-5 year, 10+ year) fiscal viability of the GMOA and proposed initiatives. The position utilizes UGA Financials, UGA Foundation, and other budgetary planning systems for strategic planning, tracking, and monitoring of all expenses and revenue generating activities. In addition, this position oversees multi-year budget planning and forecasting to plan for future needs and organizational growth, and to provide guidance to both senior and executive leadership on the short and long-term (1-3 year, 5+ year) fiscal viability of the GMOA and proposed initiatives.

Plan, organize, evaluate and manage day-to day activities of business office; supervise department heads' management of the museum shop, security and IT departments, including recruiting, hiring and training, as well as facility maintenance, and MRR requests. With the support of the Museum Business Operations Manager, review and prepare sales tax reports and other inventory records related to auxiliary operations of the museum Ensures all funds are reconciled with UGA's financial records; Oversee P-Cards for the museum.

Manage human resource actions such as recruitment, salaries, and position funding. Act as museum's HR liaison in actions such as ADA requests, FMLA, and other employee complaints and performance issues, assist staff in following policies and procedures.
