POSITION SUMMARY:
We're looking for an Event Operations Coordinator to support the Events Manager with strategic programming at the Client.
Our ideal candidate is passionate about events and understands how consumer-focused events help to strengthen the store's identity.
This person will report into the Events Manager and be an extension of the brand and represent our voice to our consumers by helping to create incredible experiences at Client.
Key Responsibilities:
This individual will have primary responsibility for managing all event operations.
• Maintaining a thorough understanding of event procedures and the overall operation style.
• Comfortable opening an event with a warm welcome and enthusiastically introducing the presenter or artist
• Ensure the customer journey and event experience is executed to the highest level
• Partner with the visual team to ensure the physical event setup meets all visual standards
• Maintain ongoing knowledge of current promotions, and products
• Collaborate with Creative team to develop event collateral
• Maintains clean and organized storage facilities, while keeping accurate inventory counts of all supplies and FOCs
Event Calendar Maintenance: Maintain and manage the holistic event calendar to ensure optimal event execution with multiple teams.
• Update and input ROS and event details on a weekly basis
Event Data:
• Weekly event recaps and event briefs
Community Event Programming:
• Respond to community organizations/schools/teachers regarding field trip opportunities.
• Monitor general event email account and filter through potential event inquiries
• Light monitoring of talent/partner social media event promo and collecting social impressions
Event Best Practices
• Stay abreast of event best practices, offering recommendations on how to optimize the connectivity objectives.
Reporting
• Assisting with light reporting, pulling event data from retail systems on a weekly basis
Position Requirements
• 4+ years of live event experience.
• Relevant technical expertise in products, services, and systems
• Ability to analyze and solve technical problems
• Adept at managing relationships with presenters, and other key partners
• Strong organizational skills and the ability to manage multiple event projects at once.
• Exceptional written and verbal communication skills
• Detail-oriented with excellent organizational and time management skills.
• Analytical mindset with the ability to analyze data, draw insights, and make data-driven decisions and have the ability to create reports on events
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
• Creative thinking and adaptability to switch between brand tones and personas.
• Ability to handle community moderation and maintain a positive online environment.
