SUMMARY:

With minimum supervision, and reporting to general manager or above, responsible for administrative and/or project-oriented duties of considerable scope, sensitivity and complexity requiring extreme confidentiality, independent judgment, familiarity with applicable procedures, coordination and follow-through. This role will report directly to the General Manager of Gas Turbine Fuel Systems Division.

Responsibilities

RESPONSIBILITIES:
  • Assists with preparation of monthly expense reports.
  • Must maintain a high degree of confidentiality.
  • Arrange travel and hotel reservations.
  • Closely manage GM calendar and schedule meetings. Coordinate calendar and meeting actions with division, group and corporate leaders and administrative assistants.
  • Coordinate and communicate with internal and external executive-level staff to schedule in-house and off-site meetings. Coordination may include arrangements for travel and hotel accommodations, meal menus, recreational programs, guest speakers, and developing agendas.
  • Monitor and manage facility guest arrival activities.
  • Process division-wide MSS requests for access and changes.
  • Prioritize, distribute and route mail.
  • Responsible for maintaining inventory of site supplies.
  • Assist with meeting coordination and catering.
  • Participate in HPT Engagement Team
  • Assist with Site wide communications.
  • Identify needs and initiate administrative projects, establishing priorities and procedures, to accomplish objectives.
  • Interface and communicate effectively and professionally with team members, functional departments and customers.
  • Other duties as assigned.

Qualifications

QUALIFICATIONS:
  • Five years of related office experience
  • High school graduate with advanced degree preferred
  • Thorough knowledge of office equipment and administrative procedures
  • Proficient computer skills
  • Must demonstrate effective verbal, written and interpersonal communication skills
  • Ability to work effectively with others and be a participative team player
  • Works independently and as a member of small project teams. Assists GM & Staff by making recommendations
