Responsibilities

Provide comprehensive administrative, clerical, and instructional support to the College of Law faculty and the Faculty Support Office to include but not limited to:
  • Research and instructional assistance to designated faculty members. Assist with various tasks such as completing large mail outs, typing documents and administrative forms and course materials, locating or photocopying journal articles, maintaining student attendance records, and creating photo rosters, note cards, and seating charts.
  • Serves as the primary contact for the textbook ordering, facilitating communication between faculty, bookstores, and publishers. Maintain the current book list on the College of Law website, ensuring compliance with University guidelines and deadlines.
  • Serves as the point of contact for technical needs, including Zoom hosting for synchronous online courses and advances Microsoft Office applications (PowerPoint, Excel, Word, etc.).
  • Provide Canvas support including posting assignments, syllabi, announcements, and links, populating course lists, creating and posting quizzes, assisting adjunct faculty with FSUID and Canvas setup, creating Zoom sessions, and facilitating Canvas training.
  • Manage the Faculty Expertise and Advancement Systems (FEAS) database, maintaining CV data for all faculty and soliciting annual updates.
  • Participate in the exam administration process, including preparing, typing, copying, distributing, collecting, and securing exam materials for assigned professors.
  • Serve as a liaison to internal and external agencies for faculty, including visiting faculty, providing information regarding travel agendas, class schedules, cancellations, office hours, etc.
  • Maintain a complete record of assignments completed for faculty members for easy access by faculty and staff.
  • Provide support for conferences, symposia, and other special events as needed.
  • Participate in training activities and departmental meetings, including computer tutorials, staff meetings, professional development sessions, and cross-training presentations.
  • Provides back-up coverage to other offices as assigned and assist with special projects.
  • Perform other duties as assigned.

Qualifications

A high school diploma or equivalent and two years of experience in an education and/or office setting. (Note: post high-school education and/or experience may substitute at a comparable rate.)

Preferred Qualifications

  • A bachelor's degree or progress toward a degree is preferred.
  • Proficiency with Canvas is desired.
  • Advanced proficiency with Microsoft Office Suite.
  • Knowledge of standard office equipment, office practices, procedures, and etiquette.
  • Ability to work independently, prioritize multiple work assignments, and communicate effectively, both verbally and in writing, and to prioritize, and organize multiple work assignments.
  • Is a self-starter: Has the ability to take the initiative to complete tasks, assignments, projects etc. and perform duties and responsibilities with respect to work demands.
  • Possess a high-level of organizational skills and takes steps to ensure tasks are not overlooked or dropped.

Considerations

This is an USPS (University Support Personnel System) position.

This position requires successful completion of a criminal history background check .

This position works in the office Monday - Friday from 8am to 5pm with a 1-hour break for lunch. Must have ability to work a flexible schedule to include evenings and weekends as required. Occasional overtime hours may be required and during exam periods.
