Why does the job exist?

The NMMNHS is in search of a dynamic individual to direct and manager all fiscal, budget, accounting, and auditing operations of the Museum. This position will manage and provide oversight of all aspects of financial operations, including Budget, Procurement, Accounts Payable, Accounts Receivable, Financial Reporting, Capital, Fixed Assets and Foundation Support, pursuant to the policies and procedures set forth by the New Mexico State Statutes, the New Mexico State Purchasing Division, the Department of Finance & Administration, and the Department of Cultural Affairs.

How does it get done?

1) Administer Institutional Budget and Capital Funding Laws & Budget
2) Ensure goods/services were completed and or received per purchase document, confirm available funding on purchase documents and prices match original quote provided by vendor, grant approval for payment and prepare payable packet to submit to the Administrative Services Division (ASD), log each invoice on payables excel sheet, use SHARE to monitor and track invoices, generate SHARE and excel reports for tracking/reconciliations, log payment information on payables excel sheet, participate in year end procedures to ensure all invoices due have been submitted for payment.
3) Assist fellow employees with professional service documents, determine scope of work and dollar amounts per FY, complete documents as required, assure compliance of all state policies and procedures, ensure all proper documentation and signatures are attached per checklist and submit to ASD.

Minimum Qualification

A Bachelor's Degree in any field of study from an accredited college or university and five (5) years of professional level experience operating within parameters and guidelines directly related to the purpose of the position defined by the agency at the time of recruitment. Any required licensure, certification or registration shall be defined at the time of recruitment and will be in addition to the above requirements.

Employment Requirements

Employment is subject to a pre-employment background investigation and is conditional pending results. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Must possess and maintain a valid New Mexico Driver's License.

Working Conditions

Primary work performed in an office and/or conference room setting with occasional travel. Exposure to visual/video display terminal. Extensive computer and telephone usage with extended periods of sitting. Must be able to lift up to 35 lbs.
