Job Duties:

The Department for Aging and Rehabilitative Services (DARS) Fiscal Division supports the Agency's mission by providing quality financial management through Budget, Grants, Accounts Payable, Accounts Receivable, Payroll, General Accounting, Financial Reporting, and Compliance services for DARS and the Disability Service Agencies (DSAs).

We are seeking a Fiscal Administrative Specialist (Wage) to perform various clerical/administrative/fiscal tasks to support the fiscal unit maintenance and operation. Duties include but are not limited to:
  • Opens and distributes mail and ensures outgoing mail is prepared appropriately.
  • Communicates with internal and external customers and the general public through email, telephone calls, and face-to-face contact to facilitate fiscal activities.
  • Takes incoming telephone calls, directs calls as appropriate, and gives general information.
  • Schedule appointments for CFO & Director.
  • Takes accurate minutes for fiscal meetings.
  • Processes procurement requests and orders fiscal office supplies and other purchases.
  • Tracks invoices along with related purchase orders and contracts.
  • Tracks receipt of various documents, reviews documents for completeness, and follow-up as needed.
  • Review source documents to determine applicable action to take.
  • Runs financial reports and compiles data into reports for fiscal managers.
  • Assists with financial tasks and financial reporting.
  • Respond to audit, ARMICS, and/or other governing entities' inquiries in a timely manner.
  • Uses sound judgment and makes reasonable decisions in all work-related situations.
  • Handle confidential information with discretion and maintain strict confidentiality.
This is a wage (part-time) position and will work on average of 25-29 hours a week and can't exceed 1500 hours during their employment year. This position does not include health insurance, retirement or leave.

Minimum Qualifications:

The ideal candidate will have:

Knowledge/Experience -

Previous experience working in a professional office environment, and a knowledge of general office policies, procedures, and practices. Knowledge of office equipment, including proper telephone etiquette. Experience providing administrative support for multiple entities. Experience researching, organizing, and compiling data. Proficiency with MS Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and hardware: printers, copiers, scanners, and telephone switchboards.

Skills/Abilities -

Ability to work independently and provide exemplary customer service when answering telephone, greeting visitors, and assisting coworkers. Ability to escalate concerns/issues through appropriate levels of management. Ability to effectively communicate orally and in writing to the general public, clients, and with all levels of management, staff, and vendors.

Strong attention to detail and organizational skills, the ability to follow verbal and written instructions and to meet deadlines. Ability to respond effectively to changing priorities and effectively multi-task and complete other duties as assigned.
