Summary

The Imaging Services Support Specialist acts as a liaison and a skilled communicator between physicians, residents, nurses, stakeholders, and in conjunction with other departments and facilities. Perform clerical work under minimal supervision with the Imaging Services and radiology faculty team, requiring a broad knowledge of department and hospital procedures. Must be capable of effective communication in a fast-paced work environment while inputting data into EPIC for tech notes and reviewing labs to be completed or have already been performed. Being able to review Qgenda quickly and effectively to see where radiologists are scheduled without double booking.

Experience and Education

High school diploma or GED required. Basic Life Support (BLS) by the American Heart Association (AHA) or American Red Cross (ARC) by first day of employment is required . Proficiency with Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint required. Prior clinical experience in medical office or hospital setting is preferred .

Shift: Mon-Fri, 12PM-8:30PM

Job Duties

  1. Triages and respond to calls from physicians, technologists, nurses, and other stakeholders using AIDET principles. Screens calls to help ensure uninterrupted interpretations and timely reporting. Contacts referring clinicians until reached for purposes of providing physician-to-physician critical results. Takes messages and returns calls as appropriate.
  1. Works daily queue of unread reports and contacts faculty members to finalize unread studies. Uploads and reconciles outside images into specified modality worklists and coordinates with radiologist division to read. Burns CDs for stakeholders, with the release of information paperwork and, delivers to hospital units as necessary.
  1. Maintains a fundamental understanding of electronic health records, various scheduling applications, image archiving systems, and voice-activated dictation systems. Ability to utilize enterprise programs and select exams to send directly to specified radiologist locations.
  1. Reviews future radiologist's schedules for double booking and notifies the team in advance within QGenda. Monitors the turnaround times for stat and urgent exams and apprises the responsible radiologist division for timely reporting.
  1. Assumes the role of a preceptor to assist with training personnel to ensure optimal onboarding and training delivering superior customer service. Assists in downtime operations as a runner to expedite radiologist reads to appropriate hospital units.
  1. Maintains knowledge of departmental and hospital policies and procedures to ensure compliance. Participates with in-house seminars stays up-to-date with internal communications, and applies acquired knowledge to current work practices.
  1. Generates service tickets for computer and equipment failures (PACS tables, microphones, telephones).
  1. Excellent interpersonal and timely communication (oral, written, and presentation) skills in alignment with PACT and AIDET standards. Capacity to perform tasks with accuracy and attention to detail and to switch from one to another without losing efficiency or composure. Capability to operate independently and competently under pressure.
  1. Responds positively to variations in the work environment caused by changing stakeholder needs; ability to collaborate with coworkers and multidisciplinary teams (i.e., physicians, nursing units, staff members, etc.). Utilizes effective time management to triage priorities, perform job-related requirements, and respond quickly to emergencies.
  1. Maintains patient confidentiality, ensuring all protected health information (PHI) transmissions, retrievals, processes, procedures, software, and hardware are secure. Adheres to hospital policies, procedures, regulatory compliance, new yearly metrics, and department goals, including stakeholder satisfaction.
  1. Research as applicable: Duties performed may include one or more of the following core functions: a) Directly interacting with or caring for human-subjects research participants; b) Regularly maintaining, modifying, releasing or similarly affecting human-subjects research records. Must be able to lift 40-50lbs.

Working Conditions

Work is performed primarily in a hospital or hospital clinic environment.

Any qualifications to be considered as equivalents in lieu of stated minimum require prior approval of Vice President for Human Resources Administration or his/her designee.
