GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Massachusetts General Hospital Division of Palliative Care & Geriatric Medicine Patient Service Coordinator III (PSC III). The PSC III will assist the division's inpatient teams through programmatic, administrative, scheduling, financial and operational task support. This is an in-person Monday-Friday position, no weekends, no holidays. The Patient Service Coordinator will work directly with PCGM's Administrative Manager and Inpatient Medical Directors to support the day-to-day operations of the Inpatient Palliative Care Consult Service, Inpatient Geriatric Consult Service, Supportive Care Unit and Emergency Department Palliative Care Program as well as other central tasks to support the division's operations.

The Patient Service Coordinator III interacts with patients and colleagues from a variety of disciplines and must possess strong communication and interpersonal skills. The incumbent must be highly organized and capable of managing the logistics of multiple projects and events simultaneously. Some of these responsibilities may include assisting with recruitment activities, patient and provider scheduling, expense reimbursements, calendar management, administrative tasks and other tasks as directed by other leadership team members and stakeholders.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Financial (20%):

• Draft and reconcile reimbursement requests for faculty, staff, and non-employees.

• Knowledgeable of MGB reimbursement policies and be able to articulate policy to team members, identifying issues proactively.

• Submit check requests for payments and establish/maintain purchase orders for office supplies.

• Proactively order office supplies, equipment and vendor services using Peoplesoft, ensuring sufficient resources are always available.

Scheduling (30%):

• Update, maintain and troubleshoot the Division's inpatient schedules on an ongoing basis. This includes geriatric and palliative care inpatient team scheduling, weekend coverage, back up coverage, etc. using AMiON.

• Assist Administrative Manager and clinical leadership team in building clinical schedule for each fiscal year.

• Proactively arranges conference rooms, food delivery and videoconference needs for staff meeting and other standing meetings.

• Coordinates and develops interview schedules for applicants with Palliative Care team members. Distributes schedules to applicants and interviewees on a timely basis, as well as follow-up surveys to staff members.

• Maintain Division's clinician call schedule with MGH's central on-call scheduler and directory.

Operations (50%):

• Collect and deliver mail and deliveries on daily basis for staff. Additional errands on main MGH campus, as needed.

• Provide support for new staff joining the unit. This includes (but is not limited to) ordering office keys, pagers, business cards, lab coats, and other related tasks.

• Support Division's Bereavement and Volunteer Programs, as needed. This includes facilitating the weekly bereavement mailings, tracking both Programs' expenses, supporting and arranging the bi-annual Memorial Services, and assisting the Volunteer Program to ensure their administrative needs are fulfilled.

• Coordinate logistics and payments for annual Bereavement Program event, in conjunction with Division's Social Worker and an outside non-profit organization.

• Responsible for maintaining and distributing minutes for Inpatient operation meetings as needed.

• Maintain variety of Division's data reports from Epic and other sources, including for census, consultation volume and other metrics.

• Other administrative tasks and duties as required by the Division.

Qualifications

QUALIFICATIONS:

EDUCATION

  • Bachelor's degree preferred, minimum of high school diploma or equivalent required.


EXPERIENCE

  • Minimum of 2 - 5 years of directly related experience required.

• Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Access).

• Knowledge of Outlook Scheduling/Calendar Management

• EPIC experience preferred. AMiON experience preferred.

• Is knowledgeable and compliant in all hospital, State and Federal regulatory requirements, including the Division's code of conduct, the MGH mission, credo and boundaries, hospital policy and procedures (where applicable to the performance of the job), Joint Commission on Accreditation of Healthcare Organizations (JCAHO), and Health Insurance Portability and Accountability Act of 1996 (HIPAA).
