Job Summary

This position exists to provide high-level administrative support to academic departments and provide support to the Dean and the faculty in these departments. This position is responsible for managing complex administrative activities including engaging with our faculty workload and curriculum management systems, assisting faculty and dean with accounting and finance as well as contract development, creating forms for various types of faculty assignments, providing information and assistance to department(s) students, and serves as the supervisor for student workers. Beyond tasks and goals, this position is a central part to creating a healthy thriving division through professional communication, empathy, and inclusion.

Qualifications

Minimum Qualifications

Knowledge of:
  • Academic programming and complex instructional scheduling environments.
  • Principles and practices of office management sufficient to plan, assign and review the work of other staff.
  • English sufficient to speak, read, understand, and respond to written and spoken communication with customers, file and retrieve information based on content, and write, prepare, and edit materials, using correct spelling, punctuation, grammar, and sentence construction, and to understand and carry out oral and written instructions.

Skill in:
  • Spreadsheet and database software sufficient to manage information and download information from various sources, analyze data, select relevant information, and integrate data into meaningful responses and reports.
  • Office practices and equipment sufficient to develop and improve work procedures and forms.
  • Customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.
  • Math sufficient to calculate percentages and use simple formulas.
  • Accounting/budgeting/expense reporting sufficient to monitor and balance multiple budgets and grants.
  • Word processing sufficient to use of software such as Microsoft Office to create, format, edit, print and save a variety of documents, including letters, spreadsheets and tables using special math symbols.

Ability to:
  • Prepare schedules in collaboration with academic deans and faculty.
  • Organize and prioritize one's own and others' work, and to create and enforce deadlines to ensure desired results.
  • Establish and maintain effective working relationships with administration and faculty with the ability to work effectively and efficiently without supervision and direction.
  • Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
  • Establish and maintain complex record systems based on substantial program knowledge.


Preferred Qualifications
  • Three years' experience as an administrative assistant in an academic setting.
  • Experience in an academic/higher education setting and working with faculty.
  • Experience with Minnesota State and State of Minnesota contracting, purchasing, and compliance policies.
  • Experience in planning meetings and events.
  • Ability to cultivate and maintain effective working relationships with internal and external constituents.
  • Demonstrated high skill level of the principles and practices of project management.
  • Knowledge, background, and experience working with diverse groups of people.
  • Experience with continuous quality improvement.
