Summary

This position is located in the Chicago District office of the Office of Field Operations, Regulatory Operations. The position reports to and provides assistance to the Supervisory Program Manager by analyzing and implementing a variety of district management and administrative policies and procedures, providing direct administrative and analytical support to the District Manager.

Duties

  • Compares alternatives for solving problems.
  • Records and consolidates data.
  • Organizes and prioritizes documents directed to the Supervisory Program Manager for action or review.
  • Organizes and prioritizes correspondence directed to the Supervisory Program Manager for action or review.
  • Communicates via telephone in support of and on behalf of the program area manager.

  • Coordinates the process for new grants of inspection.
  • Provides overview of the application process to prospective grantees.
  • Presents complete grant applications to the approving authority.
  • Maintains a database and filing system pertaining to grant applications.
  • Serves as a focal point for communication between the district leadership, Resource Manager, and the prospective grantee.
  • Prepares grant of inspection documents.
  • Ensures correspondence is properly routed to all interested parties within the Agency.
  • Provides backup and assistance to the Resource Management Specialists.
  • Makes initial review of grant application to review for completeness.
  • Coordinates flow of visitors within the district office.
  • Enforces security requirements of visitors.
  • Maintains current knowledge of government and Agency security policies.
  • Oversees proper identification of visitors.

Qualifications

Applicants must meet all qualifications and eligibility requirements (including time-in-grade restrictions, specialized experience and/or education) by the closing date of the announcement, as defined below:

Time in grade: Applicants must meet one year at the next lower grade to be considered for the next higher grade (e.g. one year at the GS-05 grade level for consideration at the GS-07 grade level.)

For the GS-07 level:

Applicants must have one year of specialized experience (equivalent to the GS-05 level) that demonstrates:

1) Knowledge of resource management, financial principles, and program administration.

2) Experience with clerical or office work performed independently, and under general supervision.

3) Written and oral communication skills by developing documents to establish formal agreements, and email correspondences providing status updates on assignments and establishments.

For the GS-09 level:

Applicants must have one year of specialized experience (equivalent to the GS-07 level) that demonstrates:

1) Experience performing variety of administrative functions including tasks such as coordinating approval of documents to establish formal agreements, report preparation, or organizing meetings.

2) Organizational ability, such as organizing and prioritizing reading material, disseminating information, collecting, tracking, and recording forms, checklists, or other documents, preparing and maintaining automated information on a variety of databases or programs.

4. If you are required to complete any USA Hire Assessments, you will be notified after submitting your application. 5. Access USA Hire using your unique assessment link. Access is granted through your USAJOBS login credentials.

6. Review all instructions prior to beginning your assessments. You will have the opportunity to request a testing accommodation before beginning the assessments should you have a disability covered under the Rehabilitation Act of 1973 as amended.

7. Set aside at least 3 hours to take the USA Hire assessments; however, most applicants complete the assessments in less time. If you need to stop the assessments and continue later, you can re-use your unique assessment link.

8. Your responses to the USA Hire Assessments will be reused for one year (in most cases) from the date you complete as assessment. If future applications you submit require completion of the same assessments, your responses will be automatically reused.
