This position supports the daily operations of the organization's Corporate Facilities-Corporate Services area for the PGA TOUR Northeast Florida (NEFL) campus and other TOUR owned off-site locations. This position is responsible for department administration, workplace services such as janitorial operations, office supplies, stationary/business cards, pantry amenities, signage, facility and workspace recommendations and associated operations.

QUALIFICATIONS
  • Bachelor's degree in Business Administration, Operations, Management, or related field
  • Minimum five years of progressive experience in workplace support or Facilities in a corporate environment, preferably in a corporate campus setting
  • Minimum five years of people management experience; vendor management experience
  • Excellent customer service skills including relationship building
  • Intermediate skills with Microsoft Outlook and the Microsoft Office Suite; Intermediate level skills using space planning/building design software preferred
  • Strong administrative abilities including meeting deadlines and producing quality deliverables
  • Strong decision-making, leadership skills and ability to handle multiple priorities
  • Strong understanding of facilities business acumen, including budgeting, cost allocations and project cost estimating
  • Critical eye for details
  • Strong project management and communication skills including written and verbal
  • Ability to be self-directed, work independently and problem solve
  • Highly organized with the ability to manage ongoing conflicting workload demands of both planned and short lead time requests in a fast-paced environment
  • Strong project management and relationship building skills
  • Must be able to work a flexible schedule, including nights and weekends as needed
  • Valid driver's license with a clean driving record
  • Able to safely operate a utility vehicle such as, but not limited to, golf carts, utility carts, and shuttle carts


RESPONSIBILITIES/DUTIES
  • Oversee functional area operations for NEFL campus, including staffing, budget management/ cost containment, adherence to company stated policies and communications.
  • Oversees creation and updates to department manuals, standard operating procedures, policies, reporting dashboards and other support material
  • Partner with Brand Creative to ensure compliance with brand standards for the NEFL campus including FF&E and artwork
  • Assist with the oversight of all aspects of the Visitor experience, amenity programs, office supplies/stationery and employee pantry areas
  • Provide guidance and support to Front Desk Coordinator(s)
  • Assist with contract review on a regular basis and ensure they are bid out as required
  • Confirm invoices match contract pricing and ensure execution of services as contracted
  • Proactively inspect campus facilities, including meeting rooms, common areas, amenity spaces, etc. and assist with the management of all work order requests to ensure corrective action is completed in a timely manner
  • Compile information necessary to ensure all site-specific documentation, communication and reports are completed accurately and on time, including operating procedures and walk-through reports
  • Assist with modification to common area seating layouts, including FF&E recommendation in response to changing organizational needs
  • Recommends policies and procedures that have a significant impact on the organization
  • Assist with developing budgets and long-range facilities plans based on company growth and future needs
  • Responsible for employee development including hiring and performance management
  • Ensures operations comply with all local zoning laws and regulations
  • Develop and encourage team to pursue new tasks and challenges related to overall departmental goals and objectives
  • Daily assessment of building interior and exterior to ensure facility is in proper working order and is in accordance with standards. Note deficiencies and reach out to respective area for resolution. Work with Manager Meeting Coordination and Corporate Services regarding meeting room bookings and coordinate with janitorial for any related needs
  • Recommend preliminary budget and monitor monthly expenses; Review monthly variance reports and provide written explanation to supervisor; Code and enter invoices into PGA TOUR system of record in a timely manner
  • Be conscientious about the sociology of the workspace, including trends in collaborative space, mobility, and evolving environments; Ensure brand standards and make recommendations for updates
  • Monitor and procure office and building related supplies as needed utilizing approved vendor and in accordance with standards; Direct all business card and stationary requests to Coordinator
  • Special projects or other duties as assigned.
