Job Duties

Utilizing established policies and procedures, provides program and office support to a work unit including general office and administrative support. Characteristic duties may include: routine office and administrative responsibilities, scheduling meetings, data entry, routine transactions, preparing correspondence, maintaining records, ordering supplies, and answering questions regarding program services offered. The incumbent typically serves as the first point of contact for a program or work unit and directs inquiries to the appropriate office, division, or resource, and explains established procedures and practices. May be responsible for maintaining timesheets and entering time/leave taken into timekeeping/payroll system for assigned program area.

Serves as one of the medical record clerks for the office. Independently performs a variety of complex program support duties requiring interpretation and judgement in application of policies and procedures. Characteristic tasks: Interviews patients by securing and verifying personal, financial, demographic and medical history information to determine eligibility: composes non-routine correspondence: answers program questions, explains policies and procedures: registers patients, obtains consent forms and completes associated forms. Exits patients from clinic, verifies services rendered, determines prior balance and current charges, explains charges, collects payment or verifies patient or third-party billing: writes receipts, schedules next visit. Enters payments into computer system and/or journal and reconciles cash receipts. Reviews and processes requests for vital records in the Virginia Vital Events and Screening Tracking System (VVESTS).

Minimum Qualifications

• General knowledge of office principles and practices
• Working knowledge of word processing and spreadsheet software applications
• Ability to interpret and follow established procedures and guidelines
• Ability to communicate effectively
• Considerable skill in the operation of standard office equipment
