Responsibilities

The Role...

Under the direction of the Associate Director People Operations, the People Ops Specialist will be responsible for performing duties focused in the areas of employee programs, onboarding, HRIS and general employee programs administration.

If you're based in the greater Bay Area, you'll walk into our Emeryville office each Tuesday morning and start the in-person portion of our hybrid work week at our weekly all-company meeting and find close to 200 of your colleagues sitting on sofas, beanbag chairs, or the floor excitedly talking through the week ahead and watching a newer teammate tell their personal life and career journey followed by a quick update on any hot topics that might be relevant to the week ahead.

We are a dynamic, HYBRID workplace so every employee who lives within 100 miles of our offices is expected to come in each TUESDAY and WEDNESDAY. We aligned on those two common days way back in 2021 to be intentional about connecting in person for things like innovation, impromptu collaboration, having respectful challenges to get to better decisions, leadership role-modeling, and culture building. The expected pay scale for this role is $83k to $93k, which may vary based on relevant experience, qualifications, geographic area (if applicable), and internal equity for the role.

Recruitment Coordination / On-boarding: 25% of Time
  • Support employee experience and onboarding process in partnership with Talent Acquisition team
  • Process all new hire documents from candidate and administer associated processes
  • Administer background checks for all candidates that are extended an offer
  • Coordinate, and conduct new employee orientation including but not limited to working with hiring manager to coordinate first day logistics, form completion, file creation and maintenance, employee welcome
  • Ensures compliance with USCIS Form I-9 Employment Eligibility Verification system; periodically audits Forms I-9.
  • Backup administration of interview scheduling and coordination with candidates, including backup coordination of candidate travel and lodging between the candidate and travel agent
  • Track and maintain temporary employee report

HR Systems / Data Management: 35% of Time
  • Administration and timely maintenance of all personnel recordkeeping activities (manual and electronic)
  • Input personnel information changes to HRIS System (new hires, promotions, change of managers, etc.) in a timely manner with keen attention to detail
  • Process federal/state paperwork/requests (e.g., Labor Department, EDD, etc.) and employment verifications
  • Approve and/or edit onboarding tickets, initiate offboarding tickets and process terminations in Service Now
  • Notify appropriate teams (Post Credit Card team and Post Travel team) of personnel changes (new supervisors, terminations)
  • Update, manage and publish Organization charts on a regular basis with accuracy
  • Ongoing reports (ie active employee list for Jordan, Accounting, Legal, etc)

Employee Programs and coordination: 40% of Time
  • Manage People team inbox (tracking and responding to incoming messages and/or forwarding to appropriate contact
  • Tuition reimbursement (management of process and administration and tracking)
  • Gym membership coordination (enrollment, cancellations, invoice reconciliation, submitting monthly payments by corporate card expense reporting,
  • Update and distribute annual holiday/onboarding calendars
  • Coordinate People team-related functions, meetings, and events as needed
  • Support and manage calendar invites, including Habit Builders and other similar sessions Update and maintain information on People Team resource page
Qualifications

What are we looking for?

Experience:
  • Relevant professional experience in HR or adjacent field
  • Experience in data entry and using Microsoft excel with proficiency
Skills:
  • Detail orientation- exhibited experience in handling time sensitive information with urgency and accuracy
  • Strong organization skills required
  • Drive and Own results- capable of pushing tasks through to completion with minimal supervision. Take ownership of programs and projects and seek initiative for improvement
  • Proven track record of meeting commitments with the highest standards of ethics and integrity.
  • Adaptability is a must, comfortable with pivoting quickly and adjusting priorities as needed, to take on additional/new responsibilities.
