The Practice Manager assists the Co-Chairs of the State Attorney General Practice Group at Cozen O'Connor. Responsibilities include extensive administrative duties; managing internal and external non-legal communications with elected officials, senior staff, clients, and attorneys; scheduling daily meetings and events; coordinating extensive travel details for multiple attorneys; assisting with billing; assisting in marketing the SAG to prospective clients and the public; providing leadership and support to the entire team of lawyers and staff. This is a hybrid position based out of Cozen O'Connor's Washington D.C. office.

Key Responsibilities:

Communication Management:
  • Draft emails, memos, reports, and presentations
  • Assist the Co-Chairs with managing internal and external communications, including phone, emails, and written correspondence
  • Monitor and ensure compliance with key deadlines

Schedule and Travel Management:
  • Manage the co-chairs' calendars and schedule meetings, appointments, and events with attention to their availability and priorities. This includes coordinating with internal team members, clients, and external contacts.
  • Coordinate all aspects of meeting arrangements, including booking conference rooms, setting up virtual meeting links, sending out invitations, confirming attendance, and following up with reminders. Handle any special requests or accommodations required by attendees.
  • Handle all aspects of travel planning for the co-chairs, including booking flights, hotels, and transportation.
  • Create detailed travel itineraries, including flight details, accommodation information, transportation arrangements, and schedules for meetings or events.

Conference Preparation:
  • Oversee the preparation of all necessary materials for AG conferences, including obtaining and organizing information about team members attending the conference, drafting bios of attending AGs, and identifying important agenda topics and panels.
  • Plan and execute dinners and receptions for clients and AGs, including booking venues, arranging catering, and organizing event details.
  • Create guest lists, send out invitations, track RSVPs, and manage any special requests or accommodations.
  • Assist clients with AG conference-related needs, such as registration, travel, and hotel accommodations.

Fundraisers and Contributions:
  • Provide assistance to the SAG group as needed in coordinating and monitoring political contributions and compliance with campaign finance laws
  • Engage with AG campaigns directly as needed
  • Plan and execute fundraising events, including organizing logistics, managing guest lists, and coordinating with vendors.

Billing:
  • Oversee billing processes for the Co-chairs and SAG as needed, including review of prebills, preparation of bills, and coordination with the Billing department.
  • Act as liaison between the practice group and the Billing department. This includes communicating any billing-related issues or special requests, ensuring that billing procedures are followed, coordinating efforts to resolve any discrepancies or billing disputes, monitoring billing cycles, tracking payment status, and ensuring that invoices are processed in a timely manner.
  • Handle client inquiries related to billing, including questions or concerns about charges, payment terms, or billing errors. Ensure that any issues are resolved promptly and to the client's satisfaction.
  • Maintain fee and expense allocations on retainer clients.

Marketing:
  • Assist the marketing team in addressing specific client marketing needs, such as developing targeted marketing materials and drafting proposals.


Qualifications:
  • Bachelor's degree required
  • Must possess a high level of professionalism and interpersonal skills so as to be able to work well with elected officials, senior staff, clients, and attorneys
  • 5 years of equivalent experience working as a Practice Manager, Executive Assistant, Chief of Staff, or similar role
  • Exceptional organizational skills
  • Must be able to maintain all information in the strictest of confidence. Required to use discretion and diplomacy when interacting with others.
  • Must possess attention to detail, ability to balance multiple projects, and have strong time management skills
  • Proven experience working in a fast paced environment with high volumes of detailed work
  • Ability to operate as a trusted resource earning confidence both inside and outside the group
