The Division for Land-Grant Engagement is currently seeking applications for a Program Assistant for Wood County.

About the Opportunity

As the Program Assistant, you will work collaboratively as a member of the WVU Wood Extension office, working in all program areas: 4-H Youth, Family & Community Development, and Agriculture and Natural Resources. Occasional night and weekend work may be required. Position is contingent upon available grant and county funding.

What you'll do:

PROGRAM PLANNING AND IMPLEMENTATION

  • Develops and implements educational programs as determined by WVU Extension Agents within the program areas of 4-H Youth Development (4-HYD), Family and Community Development (FCD), and Agriculture and Natural Resources (ANR) with specific emphasis on STEM education.
  • Coordinates and arranges classes, meetings, workshops, conferences, camps in consultation with County Extension Agents. Reserves and prepares facilities for meetings.
  • Coordinates and presents training programs.
  • As instructed by Extension Agent plans, attends, and/or conducts scheduled meetings monthly such as 4-H Leaders' Association, Camp Trustees, CEOS County Council.
  • Assists with planning projects and events which may include 4-H Awards, open house events, camps, CEOS educational lessons, leadership development, Dining with Diabetes, and Youth Livestock program. Includes tasks such as recruiting participants, judges, volunteers, etc.
  • Attends county fairs/shows, 4-H camps as directed by Extension Agents. Occasional night and weekend work will be required. Individual must work 4-H camp during the summer which includes overnight stays.
  • Assists with conducting periodic evaluations of programs and activities to identify areas of needed improvement.
  • Provide assistance for developing, expanding, conducting and implementing Extension education programs to reach diverse audiences.
  • Provides program support to the Extension Agents and Nutrition Outreach Instructors as required.
  • Facilitate periodic evaluation of programs and activities to identify areas of needed improvement.
  • Assists with program recruitment and retention.


OFFICE AND ADMINISTRATIVE SUPPORT

  • Works in the Wood County office assisting with daily office coverage, answering phones, greeting constituents, data entry, filing, and other administrative duties as assigned by Extension Agents.
  • Fills 4-H project book orders and maintains project inventory, maintains 4-H club files and records, keeps volunteers informed of current information.
  • Assists with email newsletters, social media, website and program mailings.
  • Assists with screening volunteer applications and maintaining volunteer records.
  • Maintain databases and mailing lists for programs (4-H, ANR, and FCD).
  • Publicize and promote Extension programs in accordance with university policy and adhering to social justice in both print and on social media.
  • Other duties related to Extension programs assigned by Extension Agents.


GENERAL EXTENSION WORK:

  • Serve as a team member of the county Extension program by participating in Extension Service Committee meetings, office staff meetings, filing proper reports, and offering creative suggestions for program improvement.
  • Stay in compliance with all University vetting processes, policies and best management practices as they relate to the recruitment, management, and training of volunteers and leaders who support Extension programming.
  • Assure compliance with civil rights and affirmative action policies including reaching out to underserved and underrepresented audiences.
  • Foster effective communications and develop strong partnerships with Extension faculty/staff, county officials, local schools, and area youth organizations.
  • In collaboration with the supervisor, serve as a part of the team to provide leadership and support to engage stakeholders through various community groups and organizations.
  • Participate in job-related trainings, certifications, and professional development as directed by agents.
  • Position requires STRICT CONFIDENTIALITY regarding managed information.


Pay Grade: 12

Qualifications

  • A high school diploma or general education degree GED. Bachelor's degree preferred. A combination of experience and education may be considered. Experience working with youth and adults required.
  • One (1) year experience with Microsoft Word, Excel, and PowerPoint
  • Ability to meet the travel demands of the position (overnight stays), such as 4-H youth camps, conferences, professional development session/trainings.
  • Willingness to work flexible hours including some nights and weekends.
  • Ability to lift and carry materials needed to conduct trainings and perform duties of the position.
  • Knowledge of local resources and agencies.
  • Skills to effectively teach Extension programs using provided curriculum.
  • Skills to manage time and keep accurate records & reports, including travel & budget.
  • Skills to develop positive participant relationships - congeniality, listening, and empathy.
  • Skills to adapt to informal teaching environments and situations.
  • Skills to communicate (written and oral) with a diverse population.
  • Proficient in Microsoft programs.
  • Any equivalent combination of related education and/or experience will be considered.(always include unless position requires specific degree).
  • All qualifications must be met by the time of employment.


  • Valid Driver's License
  • Food Handler's training, ServSafe training required.
