Responsibilities

This position is responsible for processing the day-to-day Procurement and Accounts Payable functions for the University Business Administrators Program (UBA) at Information Technology Services (ITS).
  • Receives ITS Purchase Request Forms from ITS users, verifies all required information is provided, and performs purchase requisition functions for assigned commodities and/or services using the SpearMart system, OMNI, and University P-Card. This includes reviewing material requests, identifying vendors, and reviewing requisitions for accuracy, quotes, and use of preferred vendors in compliance with University Policies and State and Federal Laws.
  • Handles daily accounts payable functions for ITS including, but not limited to, monitoring and receiving invoices in OMNI, monitoring payment of invoices to ensure compliance with the University Prompt Payment Policy, and working with Accounts Payable to resolve problems, as needed. Assists in resolving problems associated with the receipt of materials or invoices not matching the purchase order.
  • Serves as liaison with ITS staff and vendors, as needed or required. Maintains high level of customer service, including effective communication, to ensure positive relationships with vendors, faculty, staff, and others. Promptly responds to phone and email inquiries from ITS staff, University personnel, and vendors concerning general procurement questions, related University policies, best practices, and/or bid specifications to help resolve purchase order or requisition related issues.
  • Follows established ITS warehouse processes to assist with inventory stock replenishment. Works with ITS warehouse inventory management and staff to ensure proper internal controls are met. Analyzes and resolves issues regarding procurement, receipt, and/or deployment of inventoried items, leveraging accurate databases. Performs periodic reviews and provides reports to Supervisor to ensure process and system quality.
  • Initiates purchases as P-card holder, works with the vendors to ensure the order is placed correctly, and assists to resolves issues. Provides receipts in a timely manner to the P-card proxy for weekly and monthly reconciliation. Works with the P-card proxy to resolve any missing documentation or questions about an invoice.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

  • Basic computer skills and. understanding of University Policies and Procedures.
  • Effective verbal and written communication skills.
  • Ability to compile detailed financial reports.
