Job Summary

• Develops a thorough understanding of administrative, operational, and strategic initiatives that enables the Program specialist to identify problems, analyze data, and recommends solutions based on priorities and available resources. Maps processes, identifies bottlenecks, and collaborates with physicians and program staff to propose solutions. Proposes and manages complex projects to support the practice including but not limited to:

  • Increasing patient access
  • Improving patient throughput
  • Improve operational efficiencies by adopting a lean six sigma approach to minimize waste and eliminate tasks that do not contribute add value to program goals.
  • Improving quality, patient satisfaction, and provider satisfaction.
  • Maximizing revenue to ensure program long-term sustainability
  • Supports provider recruitment. Assists with onboarding and deboarding employed and contracted providers.
  • Organizes and maintains provider files. Liases with managed care, and medical staff office to ensure all provider information is up to date for credentialing and privileging purposes.
  • Creates and actively manages provider templates with the goal of maximizing utilization, throughput, and increasing patient access.
  • Communicates and coordinates changes accordingly to providers, program team, and clinic as needed.
  • Coordinates with surgery schedulers as needed to maximize OR block time utilization.
  • Develops call schedules in accordance with contract requirements and program goals.
  • Pulls, creates, and analyzes reports to support tasks using various sources such as EPIC, Qlik dashboards, SRTR.
  • Prepare and publish ad-hoc reports, metrics, presentations, and internal communications as required.
  • Collaborates with internal and external contract teams as needed for professional services contracts and contract payments.
  • Works closely with TI leadership, Hospital Finance, and revenue cycle to identify opportunities to improve net collections and decrease costs.
  • Reviews requests for space needs.
  • Works with TI leadership to assign and maintain spaces appropriately. Reviews policies and procedures.
  • Works closely with leadership to update and communicate as needed.
  • Assists with the creation of practice workbook that will be distributed to all providers and teams throughout the Transplant Institute.
  • Assists quality team with standardizing and renaming order sets, refreshing and educating providers as needed
  • Provides administrative support to providers including but not limited to: Calendar management o ordering supplies (e.g. office supplies, white coats, business cards, loupes)


  • Expense reimbursement o ATO/CME tracking/journal and presentation tracking

  • Tracking/determining non-wRVU physician activities for scorecard compilation and reporting


Qualifications

Required Skills

  • • Bachelor's Degree. Master's preferred in relevant course of study (MBA, MHA, etc.) Experience in healthcare systems/programs/practices a plus.
  • Preferred experience in project management. PMP a plus. Capability of handling multiple projects at the same time. Advanced analytical skills
  • o 4 additional relevant years of experience may be substituted for degree requirements.
  • • Ability to work collaboratively and independently; ability to navigate a complex program.
  • • Lean Six Sigma certification or comparable preferred.
  • • Experience with EPIC a plus.
  • • Must have experience pulling and interpreting various data including financial data.
  • • Must be organized, detail-oriented, and able to proactively identify problems/challenges.
  • • Excellent interpersonal, written, and verbal skills required. Must be able to communicate with licensed providers, and leadership.
  • • Must be proficient in Microsoft Office suite (excel, word, powerpoint) and Visio.
