Administrative Duties:

  • Answer and direct phone calls, greet employees and visitors, and manage incoming communication channels.
  • Schedule conference rooms and coordinate meeting logistics.
  • Manage facility work orders and visitor registration through our online system.
  • Maintain an updated office vendor list and assist in developing and documenting office procedures.
  • Prepare outgoing mail and packages and assist with office event coordination including ordering food and setup/cleanup.
  • Provide word processing support for various documents.
  • Order and maintain office supplies and ensure common areas are kept tidy and organized.
  • Assist administrative staff with ad-hoc tasks as needed.


Quality and Record Duties:

  • Develop Project Management Plans, Quality Management Plans, and other required internal quality documentation under the guidance of the Area Quality and Records Coordinator (QRC).
  • Communicate updates to the Quality Management System as directed by the Area QRC.
  • Support Project Managers with electronic folder management and navigation.
  • Assist with Quality Management System internal audits during corporate audit cycles.
  • Collaborate with various teams including Project Management, Marketing, and Accounting as required.
  • Uphold the company's commitment to meeting project responsibilities and obligations to stakeholders.
  • Foster a culture of quality among local leadership and staff.
  • Manage relationships with a positive attitude and resolve conflicts to achieve solutions.
  • Demonstrate strong communication skills, both written and verbal.


Preferred Qualifications

  • 5 years in similar consulting industry
  • Proficient in Excel
  • 2 years in quality or process related functions
  • Ability to develop an understanding of QMS fundamentals
  • Preference given to local candidates

Required Qualifications

  • High School diploma or equivalent
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills
  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast-paced environment
  • Self-motivated, well-organized and detail-oriented
  • Ability to handle confidential information
  • Proficiency with MS Office including Word and Outlook
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
