Insight Global's Property Management client based in Red Hook, Brooklyn, NY is seeking a Real Estate Office Manager to join a small team. The Real Estate Office Manager is responsible for overseeing the daily operations of the office, ensuring smooth and efficient workflows, and supporting the team in various administrative and client-facing tasks. This role involves managing property listings, assisting with marketing efforts, ensuring compliance with legal requirements, and maintaining strong client relationships.
Key Responsibilities:
Manage day-to-day operations of the real estate office to ensure smooth and efficient workflows.
Assist in implementing office policies, rules, and regulations in compliance with local and federal real estate laws and industry best practices.
Assist in follow-up on leads and maintain strong relationships with clients and other industry professionals.
Have excellent customer service skills, addressing any concerns or issues promptly and professionally.
Coordinate the preparation, posting, and updating of property listings on multiple platforms.
Gather all listing information including property photos, pre-listing materials, comparative market analysis, and MLS research.
Acquire necessary signatures for each listing agreement, sellers disclosures, and other required documentation and send to the real estate broker for file compliance.
Post new listings to social media and in MLS to facilitate quick sales and enhance the customer experience.
Assist in producing marketing materials including brochures, flyers, online marketing content, and social media posts to continuously build the brand.
Assist in checking each document to verify it has all the correct signatures and dates to ensure a smooth transaction process.
Complete paperwork for all real estate transactions in a timely manner to ensure deals are closed as quickly as possible.
Monitor deadlines and provide notices to appropriate parties when necessary.
Ensure each transaction complies with legalities and that any tax withholdings are complete.
Assist in scheduling necessary appointments with all parties, including open houses and final walkthroughs.
Address and resolve any regulatory issues, staying up-to-date on industry changes and trends.

Required Skills & Experience
- 3+ years of experience in the real estate or property management industry
- 3+ years of experience as an Office Manager, Coordinator, or Admin Assistant
- Excellent communication skills, self-sufficient and resourceful
