DESCRIPTION

The Registrar Operations Specialist is responsible for the start-to-finish coordination of the day-to-day operations of the Office of the Registrar, including financial transactions, space management, travel, HR support, and other business functions ensuring adherence to established budget and UC and UC San Diego policies. Incumbent functions as a key resource for the coordination, administration, and organization of the office providing direction and guidance on a broad scope of issues.

This position functions as a liaison between the Office of Registrar and other campus administrative partners, Chancellor, Vice Chancellors, faculty, students, and the public with a careful eye toward enhancing and streamlining administrative processes. Incumbent is primarily responsible for local office space management, complex calendaring, meeting coordination, maintenance of operational manuals, emergency response planning, overseeing the budget, and other business functions. Using professional concepts and strong analytical skills, the individual will anticipate and resolve operational challenges in a fast-paced environment.

Incumbent must demonstrate a high degree of professionalism in a rapidly changing, time-pressured environment that requires a high level of tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. Incumbent also provides support to the University Registrar and oversees ad hoc committees. The Registrar Operations Specialist is a professional who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action.

QUALIFICATIONS
  • Ability to use sound judgment in responding to issues and concerns. Ability to act as a liaison between the administrator and a variety of other constituents, requiring a high level of mature judgment and sensitivity to the needs of each situation and project. Analytical skills to recognize problems, make recommendations and, in some cases, independently resolve and implement solutions and evaluate results and progress.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Excellent oral communication skills to communicate ideals and issues clearly, concisely, and accurately to make recommendations, discuss problems, research and explain policies/procedures. Skill to write concise, logical, grammatically correct documentation for a variety of audiences which includes thorough mastery of English grammar, punctuation and spelling. Includes proofreading and proper formats for composing and editing documents.
  • Solid organizational skills and ability to multi-task with demanding timeframes. Demonstrated organizational skills in prioritizing and planning day-to-day tasks to meet established deadlines, as well as independently setting priorities for job functions to meet multiple deadlines and adjusting to changing priorities to ensure smooth workflow. Proficient in organizing large volumes of material.
  • Working knowledge of common organization-specific and other computer application programs. Demonstrated skill in the use of PC and MAC systems to complete tasks, including word processing, spreadsheets and equation software, such as Word, Excel, Powerpoint, and email programs. Ability to use the Internet search tools for information retrieval.
  • Ability to use discretion and maintain confidentiality. Ability to maintain confidentiality and use discretion in handling sensitive matters. Knowledge of the Family Educational Rights and Privacy Act (FERPA).
  • Demonstrated knowledge, understanding and ability to coordinate work within policies and procedures as they relate to a variety of administrative functions. Ability to perform work according to established protocols.
  • Ability to establish and maintain cooperative working relationships, to work as part of a team, and establish rapport with a wide variety of individuals.
  • Demonstrated ability to work independently, multitask and prioritize workload and follow through on assignments with minimal direction while working with demanding timeframes that carry a high consequence of error. Ability to solve problems and make decisions.
  • Excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating tact and diplomacy at all levels within and outside the University to promote positive relationships.
  • Demonstrated experience working with little supervision, independently on more than one task and determine priorities. Ability to handle multiple tasks simultaneously requiring detail and accuracy, with frequent interruptions and fluctuating priorities.
  • Ability to make foreign and domestic travel arrangements with the skill to research the most economic rates and prepare all travel-related forms for submission and reimbursement.
  • Demonstrated skill to analyze and formulate solutions, resolve problems in the absence of higher authorities while maintaining professional relationships.
SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $63,580 - $98,282 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.45 - $47.07

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
