The University of Virginia's Research Development department is seeking an Operations Assistant. Research Development (RD) is a service-oriented team operating within the Office of the Vice President for Research. The Research Development team supports large-scale, multidisciplinary/multi-institutional grant proposals that advance strategic institutional research goals. This position will report directly to the Associate Vice President for Research Development. The ideal candidate should be customer-service focused, well organized, technically adept, and willing to learn.

This is a hybrid position, reporting on Grounds at least 3 days each week. This position is a restricted three-year term, renewable based on performance and departmental funding.

The key responsibilities for this role are:
  • Monitor RD informational email accounts and route messages to appropriate RD staff, as well as answer questions.
  • Update and revise RD website content.
  • Create and maintain a database of RD projects.
  • Generate and distribute periodic newsletters, using content contributions from RD staff.
  • Manage the RD community of practice membership list and email account, coordinate monthly virtual meetings in Zoom.
  • Manage logistics for RD events, which may include venue arrangements and reservations, coordination of catering, printing and assembling attendee information and materials, day-of and on-site support, virtual event management in Zoom or MS Teams, managing RSVPs and monitoring event attendance.
  • Manage surveys of event attendees and of faculty after conclusion of RD projects.
  • Work with RD Specialists to coordinate virtual meetings for collaborators on large/complex proposal projects.
  • Participate and/or assist the team with other RD activities and special projects.
  • Contribute to RD unit planning, team learning, communication, and reporting.
  • Other duties as assigned.
Required Education and Experience:
  • Bachelor's degree plus three years of relevant experience; an equivalent combination of education and experience will be considered in lieu of a degree.
  • MS Office applications, including Outlook, Word, Excel and PowerPoint
  • Excellent written and oral communication skills
Experience with the following is preferred but not required:
  • Event coordination, in person and virtual
  • Drupal or other web-editing tools
  • MailChimp and Qualtrics
  • Customer service

Anticipated Salary Range: $24.04 - $28.85 per hour ($50,000 - $60,000 annually); commensurate with qualifications and experience.

Physical Demands: This is primarily a sedentary job involving extensive use of desktop computers. The job may occasionally require traveling within the greater Charlottesville area to attend events.
