Summary

The position will support the Department Administrator and will be responsible for conducting financial analysis, preparing budgets, and forecasting to support strategic decision-making. The role involves creating financial reports, identifying risks and opportunities, and providing recommendations to improve financial performance. Additionally, the candidate will be tasked with monitoring expenses, ensuring compliance with financial policies, and developing models to enhance operational efficiency. Strong communication with internal and external stakeholders is essential to facilitate accurate data collection and analysis.

This role is primarily onsite with some hybrid work schedule available.

Job Duties

  • Facilitate year-end budget preparation: Conduct variance analysis to examine departmental budgets, confirming accuracy and ensuring that final year-end reports align with projected expenditures and funding allocations.
  • Maintain Labor Distribution in PEPT system: Manage HR record updates, corrections, and ensure compliance with effort reporting guidelines for accurate salary allocations across grants and departmental accounts.
  • Quarterly account summary updates: Conduct detailed reviews of grant and unrestricted accounts with faculty, providing them with up-to-date financial summaries to ensure alignment with their research objectives and available funding.
  • Financial forecasting for faculty: Assist faculty in projecting future financial needs for new hires, equipment, and supply purchases by providing tailored financial forecasts based on current and upcoming budgets.
  • CPRIT CGMS system updates: Maintain and update accounts in the CPRIT CGMS system, ensuring accurate tracking and reporting of Cancer Prevention and Research Institute of Texas (CPRIT) grant-related expenses.
  • Re-budgeting - Type 1 and Type 2 accounts: Conduct re-budgeting exercises for Type 1 and Type 2 accounts, ensuring appropriate fund allocation and compliance with grant terms and university policies.
  • Account setups (Type 1 and 2): Set up new accounts for both Type 1 (operational) and Type 2 (grant) funds, including pending accounts, ensuring they are aligned with the project and departmental requirements.
  • Help with RPPRs, yearly budget prep and other duties as needed.
  • Communicate regularly with various internal and external stakeholders to facilitate collection and analysis of financial data.
  • Quarterly financial reviews: Meet with faculty Principal Investigators to review their financial status, re-budget as needed, and support accurate resource allocation.
  • Support faculty recruitment: Forecast financial needs for new faculty, including start-up packages and equipment purchases.
  • Manage $25M-$30M department budget: Oversee allocation of funds for 40+ faculty, staff, research labs, and operations, ensuring alignment with departmental and university goals.
  • Operational reporting: Prepare reports for leadership, identify cost-saving opportunities, and recommend strategies to enhance financial performance.
  • Ensure compliance: Maintain financial accuracy and adherence to university policies, supporting audits and long-term financing requests.
  • Perform other job-related duties as assigned.


Minimum Qualifications

  • Bachelor's degree in Finance or a related field.
  • Four years of relevant experience.


Preferred Qualifications

  • Experience in an academic medical center.
