CAM offers top-ranked degrees and programs in Film & Television, Media Forensics, Music & Entertainment, and Visual Arts.

The Student Advising & Operations Coordinator is an integral member of the College of Arts & Media student services team that helps students navigate and personalize their college experience, connects them with the right resources, and guides them throughout their academic journey.

The Student Advising & Operations Coordinator oversees front desk and office coordination for the College of Arts & Media (CAM), providing a range of services and information to faculty, staff, students, and visitors. This position is responsible for assisting in creating a diverse and inclusive office environment and supporting all organizational aspects of the office. It focuses on delivering high quality standards in service and quality assurance. This position will supervise a team of front desk student employees and be responsible for their training.

The Student Advising & Operations Coordinator will also be responsible for scheduling advising appointments and responding to student advising related phone calls and emails. This position will be trained as an academic advisor and will provide academic advising at times. This position will also provide support for CAM recruitment, admissions, retention, and events efforts.

What you will do:

Student Advising & Enrollment Management

  • Provide information to current and prospective students regarding program requirements for all CAM programs and academic policies and advise students through registration.
  • Responsible for and in-depth understanding of CAM's programs and curriculum requirements, admissions standards, and academic policy and procedure for the three distinct departments and twelve unique areas of study.
  • Advise current and incoming students on procedural requirements for special processes regarding registration, including assisting students with proper completion of paperwork, appropriate deadlines, and maintaining up to date information for faculty and students to ensure accessibility.
  • Be trained to do academic advising and stay knowledgeable about advising requirements and procedures.
  • Attend advising meetings as needed.
  • Advise students for 5-15 hours per week, depending on the time of year and advising needs.
  • Act as an advising resource for prospective and current students; pull student data and provide resources and guidance on CAM programming and triage students to specific advising resources as needed.
  • Provide support to the CAM advising team, such as scheduling appointments, check-in students for appointments, manage drop-in hours, answer questions, manage student files, maintain student confidentiality.
  • Maintain database of electronic advising sheets, sample schedules, and various advising handouts/forms.
  • Support CAM enrollment management team by communicating with prospective student and their families who drop in.
  • Support CAM enrollment management team by assisting with the LYNX Arts Camps forms, website, database management. Communicate with LYNX Arts Camps students and parents as directed.
  • Complete other projects, duties, and tasks as assigned.


Front Desk & Office Coordination

  • Coordinate reception services for the CAM front desk. Assist students, staff, faculty and guests of the Dean's Office. This includes but is not limited to providing customer service, greet visitors in the lobby, respond to general information requests, direct visitors to the appropriate resources, answer incoming calls, route emails, and direct as need and/or provide appropriate information and successful resolution of routine administrative issues.
  • Serve as the point of contact regarding facilities issues that occur in the Dean's Office; communicate to the appropriate offices and follow up to ensure issues are resolved.
  • Oversee the day-to-day operations of the student locker program for CAM students in the Arts Building; develop and enforce policies and procedures to manage this student resource; develop digital and physical communication for students regarding the locker program; train student employees to assist with these duties.
  • Manage student employees in the CAM Dean's Office; create and oversee a training manual for CAM student employes.
  • Maintain cleanliness and orderliness of the Dean's Office common spaces; ensure all non-private office spaces (kitchen, lobby, conference rooms, common areas, etc.) are clean, orderly, and stocked. Periodic cleanout of the Dean's Office refrigerator and supply closet. Train student employees to assist with these duties.
  • Ensure that CAM recruitment materials and degree maps are available for prospective students at the front of the office. Print additional forms as needed.
  • Coordinate mailing and shipping processes for the College; maintain mailroom.
  • Maintain copier/printer; ensure copier materials are stocked.
  • Manage office supply inventory; anticipate supply needs. Place orders and make special purchases as appropriate.
  • Perform other general administrative and operational support as needed.


Social Media & Marketing

  • With direction from the CAM marketing and enrollment teams- collaborate with stakeholders, organize informational content, assist with content creation, post content on CAM social media channels and digital screens.
  • Collaborate with enrollment team to draft the CAM advising newsletter that notifies currently enrolled CAM students about dates, deadlines, resources, activities, etc.
  • Update CAM advising website with current versions of degree maps, advising sheets, etc.


Scholarships

  • Assist with coordinating CAM's scholarship program. Specific responsibilities include but are not limited to:

    • Drafting scholarship shells; verifying correct matching criteria, cycles, award amounts, and application content
    • Connecting with internal and external scholarship committee members to facilitate reviews
    • Entering in scholarship awards via university systems
  • Act as scholarship resource for College of Arts & Media students, staff, faculty as needed; act as liaison and coordinate with Scholarship Office when necessary


Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree in business administration, arts and media, higher education administration, or a related field.
  • One (1) year of professional business, fiscal, academic services, student affairs, or related experience.


Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Experience working within higher education.
  • Experience providing customer service in an office and/or administrative setting.
  • Experience working with higher education technology platforms such as Marketplace, Concur, PeopleSoft, Navigate, Inspire, Slate, etc.
  • Knowledge of arts and media related academic programs.
  • Experience mentoring and/or advising college students.
  • Experience coordinating schedules/meetings.

Conditions of Employment

  • Occasional work during the evening and/or weekends may be required.
  • This position is student facing and typically requires an onsite presence on campus 5 days a week. After 60 days, one remote day per week during non-peak time may be considered. All staff schedules are primarily dependent on the needs of the unit.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $53,500 - $57,500.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
