Summary

PLEASE NOTE: This position is seasonal (40 hours per week - mid-August through mid-May). There is currently funding for this position from summer 2024 through summer 2027.

The Department of Comparative Literature seeks a collaborative, detail-oriented, flexible, and self-motivated individual to join our team as a Student Services Assistant (SSA). This position reports to the Chief Administrator. The Student Services Assistant is responsible for a variety of professional and administrative duties in support of the day-to-day operations of the undergraduate program, managing the department's time schedule, assisting the Director of Undergraduate Studies (DUS), and supporting programming related to improving the experience of undergraduate students in the department. We are looking for a dedicated, highly organized team player with excellent interpersonal and customer service skills who will contribute to the success of our ongoing and new student services initiatives.

The Department of Comparative Literature, in the College of Literature, Science, and the Arts (LSA), at the University of Michigan is one of the oldest and best-established centers for the study of comparative literature in the country. The SSA serves as the primary staff contact for undergraduate student services for faculty, students, and partners elsewhere in the University. The Student Services Assistant is responsible for providing a broad range of administrative and programmatic assistance and will be an important part of a small but dedicated group of staff.

Responsibilities*

This position is responsible for undergraduate student services within the department including curriculum planning, supporting the Director of Undergraduate Studies, building community within our undergraduate community, and managing the front office.

Undergraduate Student Services (40%)
  • Coordinate the review, preparation, and submission of undergraduate curricular proposals to the LSA Curriculum Committee Support instructors who want to offer high-impact classroom activities, assist with requests for changes in lab fees, and manage applications for curricular funding from instructors
  • Facilitate and manage submissions and nominations for independent study requests, honors theses, translation capstone projects, and relevant departmental awards
  • Serve as the primary contact for undergraduate program inquiries and plan and execute regular outreach to undergraduate students
  • Coordinate department involvement in LSA and University student-facing events and lead innovative and engaging community-building programs
  • Serve as the department liaison for academic and student issues with the LSA Dean's Office, Office of the Registrar, Newnan Advising Center, and the LSA Opportunity Hub
  • Maintain inventory of creative and effective promotional items for undergraduates to build community and improve recruitment efforts

Curriculum and Instructional Support (35%)
  • Solicit and coordinate teaching preferences for each term to ensure appropriate assignment of instructors to required undergraduate and graduate courses.
  • Manage time schedule planning, preparation, and data entry into M-Pathways for fall, winter, and spring/summer schedules
  • Facilitate course guide submissions and coordinate with instructor to develop fliers, course cards, and other promotional items to advertise courses to students
  • Monitor course enrollments, process course permissions, and manage major and minor declarations
  • Serve as the primary contact to the Office of the Registrar and Technology Services for classroom and equipment scheduling requests
  • Coordinate teaching observations and course evaluations for all instructors in the department
  • Maintain and update data related to curriculum (syllabi, course designations, final grades)

General office management (15%)
  • Responsible for providing exceptional service to faculty, students, staff, parents, and other community members walking in, emailing, or calling the office during business hours
  • Hire, train, and supervise student employees; delegate daily/weekly tasks for effective support of administrative activities
  • Manage inventory of departmental supplies, faculty and staff computers, telephones, and keys
  • Serve as primary contact to schedule department conference rooms and confirm outside meeting rooms, assist in set-up and breakdown of department meeting space including technical assistance as needed
  • Manage department mailroom; coordinate daily outgoing and incoming mail distribution, and departmental UPS account management
  • Maintain updated lists of faculty and staff, online and physical directories, and email groups
  • Assist with facilities management, including office assignments and coordination with LSA Facilities for furniture orders, work orders, CCURE access, and key requests.

UG Program Leadership Support (10%)
  • Provide high-level support for the department's DUS, including preparing routine communications, scheduling meetings, maintaining student records, planning graduate student instructor training, and providing access to systems and calendars
  • Work closely with the DUS to provide excellent experiences for our undergraduate students
  • Attend and participate in the Undergraduate Committee meetings and support their processes by preparing documents, taking notes and distributing minutes, and communicating action items as needed


Required Qualifications*

  • High school education or equivalent
  • Two or more years of experience working in an academic or student services role
  • Excellent interpersonal skills and ability to communicate with people from diverse backgrounds
  • Strong writing skills with proven ability to draft original and complex correspondence
  • Ability to meet deadlines and prioritize appropriate tasks while handling various projects simultaneously
  • A self-motivated individual committed to finding opportunities for greater efficiency and collaboration
  • Excellent accuracy and attention to detail while working in a fast-paced environment with frequent interruptions
  • Extensive computer experience with email, spreadsheets, and word processing
  • The ability to practice discretion when dealing with sensitive matters
  • Capable of setting up/breaking down rooms for events with the ability to move items weighing up to 25 lbs


Desired Qualifications*

  • Bachelor's degree or equivalent combination of education and experience
  • Experience with M-Pathways student administration systems, M-Pathways financial systems, and knowledge of University policies and administrative procedures
  • Extensive experience in Microsoft and Google platforms
  • An individual who embraces the missions of LSA and the Department of Comparative Literature

This position has an unpaid seasonal leave of absence from mid-May to mid-August each year. The target salary range for this position is $39,300 to $49,100 full-time rate (the annual salary range with the unpaid seasonal leave is approximately $29,475 to $36,825). A higher salary may be offered, based on equity and the selected candidate's experience.

This is a term-limited appointment through June 2027 with the possibility of renewal contingent on your satisfactory performance and conduct, the availability of work, and continued funding.

This position will work in-person 5 days per week.
