Department Summary

The Office of the Registrar provides a variety of services, including development and maintenance of the academic calendar, semester schedule of classes, university catalog, registration, grade submission, official transcripts, degree audits, and commencement and graduation.

Position Overview

The Office of the Registrar is seeking a detailed-oriented individual with experience reviewing and maintaining student records. The Student Services Associate is responsible for facilitating various student services provided to students, which may include the academic catalog, transfer portal, and residency procedures. Implements academic policies and procedures, prepares and maintains student record databases, and gathers and maintains accurate and confidential records and files. Assist with registration, recordkeeping, commencement, and degree conferral.

Minimum Qualifications

Bachelor's degree and one (1) year of related experience; or equivalent combination of education and experience.

Knowledge, Skills and Abilities
  • Thorough knowledge of University policies including FERPA and procedures related to the area of assignment.
  • Considerable knowledge (or ability to rapidly assimilate and retain) university operating procedures, organization policies.
  • Working knowledge of sound business principles, practices, and techniques.
  • Intermediate level knowledge of Microsoft Office Suite, in particular Outlook, Word, Excel and PowerPoint.
  • High level of competence using email and search engines.
  • When required: Skill in typing at a moderately fast rate with few errors.
  • Knowledge of general safe working procedures related to work performed.

Preferred Qualifications

Bachelor's degree and three (3) years of experience in a Registrar's Office or higher education setting within academic support or similar.

Job Duties:
  • Assists with establishing/revisions of the academic catalog. Respond to inquiries related to updating the catalog. Responsible for data integrity and accuracy of the academic catalog for each term and session.
  • Perform data entry, maintenance, and final review of the transfer portal as pertains to academic programs and courses.
  • Oversee in-state/out-of-state residency procedure and student inquiries. Respond and process to interdepartmental inquiries related to in-state/out-of-state residency. Provide updated content for department's residency website and any other functionality pertaining to in-state/out-of-state residency.
  • Provides administrative support; updates database student information system; prepares and maintains confidential files; coordinates records between University departments.
  • Collaborate with Information Technology department on workflow mapping and discrepancies, troubleshoot registration issues, user testing, and recommend improvements.
  • Verifies course requirements; processes petitions for academic program changes; updates academic records; assists students with class information; receives and tracks various documents.
  • Utilize various systems, including but not limited to the University's student information system and scheduling software.
  • Determine when related functions encounter issues that require changes, such as procedural, organizational, or policy updates for maintenance purposes and/or improve the efficiency of procedures. Provide feedback and summarize needs and areas of improvement across stakeholder areas.
  • Assists in project planning, development, and implementation to ensure efficiency in meeting the needs of departmental procedures.
  • Adhere to academic policies and directives according to federal, state, and the University's guidelines and regulations.
  • Process registration requests and assist with Registrar calls, email correspondences, and chat messages; academic program changes. Assists with other registrar related functions, including other registrar forms, degree conferral, and records requests.
  • Maintains up to date knowledge of related systems.
  • Assist Registrar and Assistant Registrars as needed.
  • Performs other duties as assigned.

Monday - Friday, 8:00 a.m. - 5:00 p.m.
