License and Permit Specialist I

This position performs routine (journey-level) licensing and permitting work. Work involves receiving and reviewing license and permit applications and ensuring compliance with applicable policies, administrative codes, and statutes. Communicating with external and internal customers and approving license and permit applications. Works under moderate supervision, with limited latitude for the use of initiative and independent judgment.

This position:

• Receives license and permit applications, and renewals and reviews documentation to ensure completeness, accuracy and compliance with state and federal regulations, policies, and guidelines.

• Applies state statutes, adopted rules and agency procedures as they pertain to Licensing Administration.

• Provides administrative and technical assistance related to license and permit requirements to the general public and agency staff.

• Evaluates and tracks applications and responses to notices of deficiency.

• Responds to routine and non-routine inquiries regarding rules, regulations, policies, and procedures.

• Maintains examination files and licensing records.

• Communicates by telephone and in writing with applicants, licensees, other employees, and the general public.

• Performs other duties as assigned.



Qualifications:

This position requires:

• High school diploma or equivalent.

• One year experience in administrative support, customer service, or technical program assistance.

• Education and experience relevant to position requirements may be substituted for one another on a year-for-year basis.

Additional job details:

This position requires regular work attendance. The position may be eligible for a hybrid work schedule. If eligible, the employee must have a secure, dedicated workspace with reliable broadband internet service. The ideal candidate must be available for weekly meetings and group collaboration via Microsoft Teams and other applications during regular business hours.

Preferences for this position include:

• Graduation from a two-year college or equivalent.

This position requires demonstrated knowledge of:

• State laws, rules, procedures, and regulations relevant to job requirements.

• Statutes and rules pertaining to SFMO Licensing Administration.

• Office practices and administrative procedures.

• Researching and utilizing Sircon database.

This position requires demonstrated skill in:

• Problem solving and critical thinking.

• Using Microsoft Office software applications, including Word, Excel, Outlook, and SharePoint.

• Using personal computers sufficient to enter and extract data from related systems and programs such as Centralized Accounting Payroll and Personnel (CAPPS) and other systems required to perform the job.

This position requires the demonstrated ability to:

• Communicate and work effectively with a wide range of people with varied skills, knowledge, and backgrounds.

• Maintain the confidentiality of sensitive information.

• Analyze and solve work-related problems and work independently on a variety of administrative work and technical assignments.

• Manage and coordinate multiple tasks and priorities to meet necessary deadlines.

• Interpret agency rules and division policies and procedures.

• Respond to public inquiries in a timely manner.

• Deal diplomatically with difficult situations.

• Apply critical thinking to evaluate, analyze and interpret information.
