SUBFUNCTION DEFINITION: Community Relations at Cincinnati Children's Hospital Medical Center serves as a point of

entry into the organization as an information and resource hub that centralizes and standardizes the way we connect to

the community.

Provides support to the department and team.

REPRESENTATIVE RESPONSIBILITIES

• Program

Coordinates outreach, education or health Initiatives, serving as a liaison to internal departments and community based

groups and organizations. Manages partnerships schools, health organizations, and local non-profits. Plays active role

in engaging external and internal partners, including employees. Supports cultural events, fairs, and initiatives that

promote child health. Work closely with employees, departments, organizations on community engagement and health

education and promotion. Supports internal workgroups and community-based committees. Designs and maintain

databases, spreadsheets and listserves. Surveys leaders participation in meetings and projects. Manage department staff

atisfaction/evaluation process for sponsored events and tracking survey results via an electronic survey tool. Proce

and track community participation and results. Monitor and troubleshoot invoicing, payment and inventory. Create and

maintain a child health advocacy database for the purpose of supporting CCHMC advocacy agenda.

• Department Support

Effectively demonstrates skills related to coordination of work, schedules, activities, information, and processes. Prioritize

tasks. Coordinates daily office operations. Manages complex calendars/schedules, including multiple individuals at

everal locations. Schedules travel including multiple individuals and locations. Schedules and coordinates conferences,

meetings, and interviews. Coordinates conference calls, teleconferences, and video conferencing. Tracks mandatory

training and other employee/department requirements; may include license monitoring. Performs advanced library

earches utilizing electronic resources. Acts as liaison for coordination of physical moves. Works with outside vendors.

Supports special events and programs.

• Technology

Effectively demonstrates skills related to the use of a variety of software and information systems. Uses software

applications to create tables, charts, and forms. Creates or edits basic presentations. Uses electronic format to maintain

chedules for multiple people. Maintains electronic files and folders. Understands the functions of software used in the

department and uses this knowledge to organize information. Creates and maintains spreadsheets and databases.

Produces graphs, charts, and reports from spreadsheets. Produces queries from databases and reviews data to look for

variances. Uses graphics and presentation packages to create complex presentations and reports. Maintains web page

through content management system with direction from content editor. Effectively demonstrates skills related to operating

office equipment and maintaining equipment and supplies. Sets up and operates audio visual equipment. Sets up and

operates advanced technical equipment. Troubleshoots failure of technical equipment. Perform other duties as assigned.

• Communication

Effectively demonstrates communication skills related to conveying information. Researches information following

well defined paths and responds to requests. Prioritizes multiple requests for information. Functions as a resource on

department policy and processes. Acts as a liaison and works effectively with other departments, external agencies,

and vendors. Troubleshoots in response to problems and poses solutions and composition of documents. Produce

well written notes, documents, or messages. Prepares Powerpoint presentations for self and department staff. Format

documents for final distribution. Takes meeting minutes and formats for final review. Electronically submits prepared

documents. Composes and edits correspondence, reports, and proposals. Integrates data into a cohesive report. Assist

with the preparation and coordination of written documents and contracts. Reviews, prepares, and submits reports and

other written documents in a timely manner.

• Customer Service

Serve as a primary point of contact and provide assistance, information and support to colleagues, community members,

managers and employees. Research and participate in the resolution of questions and issues. Disseminate information.

Anticipate needs, and facilitate solutions to issues in collaboration with other Community Relations staff.

Qualifications:

EDUCATION/EXPERIENCE

Required:

High school diploma or equivalent

• 3 - 5 years of work experience in a related job discipline

Unique Skills:

Competency with Microsoft Office with emphasis on PowerPoint and Excel; Project Management and Presentation Skill
