Responsible for managing patient schedules, completing intake to determine WIC eligibility, collection of demographic information, issuing of WIC Food benefits, explaining how to use WIC card at WIC approved vendor stores. Will assist Program Coordinator and WIC Senior Program Assistant as needed with Quality Assurance Activities.

1. Reception work: Answer phones, direct calls, answer questions and screen potential participants. Handle appointment scheduling and rescheduling. Greet and check in participants. Manage flow of applicants and/or participants in reception area. Directs participants to appropriate staff.

2. File Management: Obtain nw participant ID number or obtain existing number from system. Collect basic participant information for eligibility screening. Prepare charts with appropriate forms. Pull and file charts for active and terminating participants.

3. Certification: Verify category, identity, income and residency to determine WIC eligibility. Collect and enter participant demographic data. Fill out eligibility agreement. Ensure participants read the WIC Rights and Responsibilities Form and explain to participants if needed. Make required referrals to TAFDC, Medicaid, SNAP, etc. Make referrals to other non-WIC services as needed. Provide WIC debit card, vendor list and WIC Food List to participant.

4. Benefit Issuance: Coordinate base date for benefits so that families can receive WIC services at the same time. Educate on how to use the WIC Card in the store. Deal with replacement cards if applicable Notify state of check ranges if upload does not occur. Sign off computer when leaving work area. Explain to participants about food list and vendor list as needed.

5. Notifications: send/give out notification letters. Print letter labels on computer. Sign off on reports.

6. Computer Management: Start up/shut down computers at beginning and end of day. Call state help desk to solve computer or printer problems.

7. Quality Assurance: Ensure thoroughness, accuracy and attention to detail in record keeping, scheduling and follow up, while maintaining efficiency. Provide ideas to supervisor for increasing efficiency in the office. Be responsive to quality assurance feedback from supervisor.

8. Reports and follow up: Print missed check pick up and end of certification reports. Follow up on termination report and pull charts and reach out to temporary terminations, ensuring proper documentation/notification occurred. Follow up on transfers in and out of state.

12. Quality Assurance: completed weekly and monthly reports from state. Check participant charts for completeness.

13. Other duties as required by program: Track supplies to ensure adequate supply for site.

14.Problem Solving: Work with Program Coordinator and WIC Senior PA to solve benefit usage problems, investigate reports, and investigate potential dual participants.

15. Other duties as required.

Qualifications

High School Diploma or equivalency .

Spanish Speaking preferred

Friendly and approachable.

Able to physically come into the office to work.

Responds well to feedback

Prior experience in a public health program or similar facility is preferred.

Prior front desk experience a plus.
