Description

Vitalant is seeking an Accounts Payable Specialist to manage various accounts payable functions, including processing invoices, matching purchase orders, and handling check payments. This role demands the ability to prioritize and multitask effectively in a fast-paced environment. Work Schedule: Monday - Friday with 3 days in office and 2 remote once fully trained.

DUTIES AND RESPONSIBILITIES:

• Performs all assigned duties in compliance with internal SOPs and external regulations.
• Brings compliance issues to the attention of management.
• Assures quality customer service to all customers.
• Performs accounts payable functions emphasizing invoice and check processing (e.g., matches invoices to purchase orders and resolves discrepancies, prepares batches of invoices, credit memos, expense statements and performs data entry).
• Performs and validates accurate coding of invoices, check requests and reviews supplier statements for paid/unpaid invoices. Investigates and resolves discrepancies with vendors and business partners.
• Ensures payment method is accurate, submits ACH/wire information for initiation, or credit card payments as needed.
• Performs account reconciliations, prepares weekly/monthly reports, and accruals.
• Performs continuous evaluation of current processes and offers recommendations for process improvements.
• Provides support for internal and external audits.
• Performs all other duties, at the discretion of management, as assigned.

Requirements

Knowledge/ Education

Associates degree in related field or equivalent combination of education and experience required.

Experience

Two years related experience required.

Skills/Abilities

Must possess the skills and abilities to successfully perform all assigned duties and responsibilities.

Excellent problem-solving and time management skills.

Excellent oral and written communication skills.

High level of accuracy, attention to detail, efficiency, and accountability. Ability to build relationships with vendors and internal partners.

Proficient in Excel and Microsoft Office applications.

Knowledge of GAAP and basic accounting principles preferred.

Ability to handle sensitive information in a confidential manner.
