Job Summary

The Department of Pediatrics, Division of Pediatric Genetics, Metabolism, and Genomic Medicine at the University of Michigan Health System brings together the expertise and specialized skills of a multidisciplinary staff devoted to promoting optimal care throughout childhood for patients with genetic conditions, and throughout the lifespan for those with inborn errors of metabolism. The primary mission of the clinic is to partner with our doctors, nurses and other providers to deliver excellent care and customer service. We are seeking a compassionate, enthusiastic, and self-driven Administrative Assistant. This individual will share our priorities which include: high quality medical care, excellent customer service, safety of staff and patients, efficiency, employee satisfaction, stewardship of resources and the ideal experience for our patients, families and employees.

This individual will play a crucial role in collating and documenting newborn screening results, helping ensure timely follow-up for babies requiring immediate attention, and managing various informational updates. Additional responsibilities include phone calls and communications with families regarding insurance submission information, receipt of formula and/or medications/supplements, and scheduling assistance. The Administrative Assistant will also maintain accurate records for both departmental and state reporting. This position is grant funded through MDHHS for 50% FTE with benefits.

Responsibilities*
  • This position will provide support for the Pediatric Genetics Division, as well as the Newborn Screen Follow-up Program within the division. Responsibilities include:
  • Collate and document newborn screening results.
  • Track results requiring immediate follow-up as well as those sent as a for your information.
  • Conduct phone calls and communicate with families to follow-up on insurance submission information.
  • Ensure receipt of formula and/or medications/supplements.
  • Assist with scheduling appointments and follow-ups.
  • Maintain accurate records for departmental and state reporting.
  • Support clinical team with administrative tasks as needed.
  • Provide support with mailings.
  • Assist with scheduling meetings and general calendar coordination between NBS team and MDHHS.

Required Qualifications*
  • High school diploma or equivalent
  • Minimum 1-year related work experience
  • High proficiency with IT applications including Microsoft 365, Google Suite, and other third-party production software
  • High degree of attention to detail and accuracy
  • Demonstrated a high level of critical thinking, problem solving, and decision making.
  • Excellent interpersonal, written, and oral communication skills
  • Ability to work effectively and sensitively with a diverse group of faculty and staff.
  • Demonstrated initiative; the desire to identify opportunities for changes to processes, procedures, and duties
  • Demonstrated willingness to contribute to a team setting.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.

Desired Qualifications*
  • An Associate or Bachelor's degree or equivalent with 1-4 years of experience in administrative support, health services, or related field.
  • Previous experience in a clinical or medical administrative setting.
  • Familiarity with Michigan Medicine and University policies and procedures.
  • Previous experience with MiChart/Epic Systems.
  • Familiarity with medical terminology and insurance processes.
  • Responds positively to change, showing willingness to learn new ways to accomplish work.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Additional Information

This is a 1-year team and expected to renew annually. At the end of the stated term, your appointment will terminate, and will not be eligible for Reduction-in-Force (RIF) benefits. This term-limited appointment does not create a contract or guarantee of employment for any period of time as you will remain subject to disciplinary or other performance measures, up to and including termination, at the will of the University in accordance with existing University policy and standards for employee performance and conduct.

Work Schedule

This is a part-time (term-limited), hybrid position with most work completed remotely, 12pm-4pm, Monday-Friday. A fully remote position may be possible and is at the discretion of the hiring manager, to be discussed pending a candidate offer.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
