Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Additional Department Summary: Maintains confidential personnel files for Department. Manages Department budgets and accounts using in-house processes as well as UA's online financial accounting system, including using CONCUR and reconciling p-card accounts. Works in Banner to build and manage course term files and manage the student enrollment process each semester. Participates in annual process to accept/enroll/hire graduate students. Uses the on-line work order system. Coordinate all Department action taken with Human Resources. In consultation with the Chair, this position is the Department's liaison/point of contact for all UA administrative processes and systems (e.g., Astra, Banner, BuyBama, ePA, GA-TOPS, Sponsored Programs, etc.).
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher.
Skills and Knowledge: Budget management skills. Managerial or supervisory skills. Public relations and organizational skills. Clear written and verbal communication skills. Ability to learn new processes.
Preferred Qualifications: Experience with the University's structure, administrative systems, and procedures.
