Job Summary
This position will provide Administrative Support for the Division of Adolescent Medicine and Division of Developmental and Behavioral Pediatrics within the Dept. of Pediatrics. This role will support efforts within both divisions while exercising independent judgment, complex problem-solving, and reliability. Successful candidates will be able to function in the role with minimal supervision.

Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Responsibilities*
- Oversees the day-to-day running of administrative offices and support of faculty, including mail, equipment, and supply
management. - Oversee faculty time away process, including time off requests within Qgenda as well as associated processes to
ensure faculty clinics are closed while away. - Oversee calendar management for Division Directors and Service Chief, assisting with meeting scheduling, agendas,
recordings, and distribution of associated minutes. Assist with scheduling large meetings and other complex events for
others within the divisions. - P-Card reconciliation and processing of expense reports.
- Support onboarding for faculty and staff, including equipment purchasing, Cornerstone registration, and office setup.
- Under direction of Division Administrator, request approval, post, and process hires for job postings within the divisions.
- Coordinate travel plans and hosting as needed
- Assist w/maintaining faculty CV in Elements system
- Support payroll completion and processing activities, as assigned
Required Qualifications*
- Associate degree or equivalent combination of education and experience.
- Minimum of four years progressively complex administrative experience.
- Must be detailed oriented, organized with demonstrated ability to prioritize work assignments and complete tasks in a timely manner
- Proficient in Microsoft Office Suite
- Demonstrate excellent verbal/written communication skills
- Previous experience working with faculty and maintaining calendar appointments
- Ability to exercise a high-level of initiative, discretion and judgment regarding sensitive and confidential matters
- Excellent interpersonal skills and the ability to work independently and collaboratively with others in a diverse team setting
Desired Qualifications*
- Bachelors degree or equivalent combination of education and experience.
- Knowledge of University systems: M-Pathways Financials and Physical Resources, Marketsite, PeoplePay, Concur
- Familiarity with UM policies and procedures as it relates to HR, procurement, or reimbursements
- Previous experience working with multiple divisions/departments or faculty
- Qgenda knowledge/experience preferred
- Prior administrative assistant experience preferred
