Job Summary

We are seeking an Administrative Assistant Senior to join our Financial Operations Administrative Services Team. In this role, you will work collaboratively with team members throughout our organization to provide a full range of administrative services, including specialized support, for the various functional areas of Financial Operations. Outstanding initiative, organizational skills and customer focus with an ability to handle a wide variety of diverse tasks are key characteristics of a successful candidate.

Who We Are

Comprised of 110 team members, Financial Operations provides a wide range of financial services on behalf of-and for-the university community. Functional areas include Accounting Operations, Controller's Office, Executive Business Services, Financial Reporting and Cost Reimbursement, Internal Controls, Investment Accounting, Payroll, Student Financial Services, Student Loan Collections and Teller Services.

Responsibilities*
  • Manage complex calendars and schedule a broad array of meetings, exercising discretion and judgment as to priorities and effective use of time
  • Prepare a comprehensive range of financial reports, presentations and communications for use by internal (executive, board, senior leadership and staff) and external (e.g. donor, student and regulatory) stakeholders
  • Maintain and update departmental websites and databases; coordinate business and legal filings and files
  • Provide phone and e-mail coverage for inquiries from a wide range of internal and external constituents; assess and respond in a professional and inclusive manner; route to the appropriate person/department as necessary
  • Initiate, modify and terminate staff access to enterprise systems based on job roles; monitor compliance with training and certification requirements
  • Review and reconcile statements of activity, purchasing cards, employee expense reports and gross pay registers
  • Manage physical space, technology, equipment and supplies to meet business needs of the Financial Operations organization in a cost effective manner
  • Coordinate organization-wide and individual department events in collaboration with leadership teams
  • Prepare purchase orders and process invoices
  • Other duties, as assigned

Required Qualifications*
  • Associates degree or the equivalent combination of education and experience from which comparable knowledge and abilities can be acquired
  • Strong working knowledge of PCs and desktop software such as Microsoft Office Suite and Google platform, including Gmail, Docs and Sheets
  • Excellent organizational skills with strong attention to detail
  • Ability to effectively prioritize a wide range of responsibilities in a dynamic environment and proactively anticipate needs and address concerns
  • Passion to build strong working relationships and communicate effectively with a diverse group of constituents; effective use of discretion and judgement with sensitive material
  • Commitment to promoting a positive environment that supports diversity, equity, inclusion and accessibility
  • Experience assisting colleagues or customers with policies, procedures and technology

Desired Qualifications*
  • Experience working with complex financial and administrative information systems (Oracle PeopleSoft helpful) and database query tools (e.g. Business Objects)
  • Familiarity with administrative processes, procedures and systems at the University of Michigan

Work Schedule

This is a full-time position. As part of the University of Michigan Finance Division's Future of Work initiative, this position may work onsite or hybrid (both onsite work and remotely) based on the business needs of the position.
