Position Summary

The Administrative Coordinator will provide comprehensive administrative and project support to the firm's 28-person Global Communications team broadly and the Global Head of Communications specifically. This role involves managing and updating project plans, maintaining the team's calendar of initiatives, organizing team meetings and events, managing budgets, and acting as a central point of contact for communications queries within the firm. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The position reports directly to the Global Head of Communications.

Duties and Accountabilities1
  • Manage and update project plans to ensure timely delivery of communications initiatives
  • Maintain the team's calendar of initiatives including the firm-wide editorial/content calendar
  • Assist in organizing team meetings, events, and social outings
  • Oversee the annual budget process and provide ongoing management of the budgets for the department and specific areas of the team, including media relations, internal communications, marketing communications, and video production
  • Handle expenses and invoicing as necessary
  • Serve as a central point of contact for communications queries from within the firm
  • Take detailed minutes at team meetings and ensure distribution to relevant parties
  • Assist the Head of Communications with the annual compensation and evaluation process
  • Manage the department's Microsoft Teams portal
  • Manage onboarding efforts for new joiners to the team
  • Perform additional administrative tasks as required to support the team's efficiency and success
Qualifications
  • At least ten (10) years of experience in an administrative role, preferably within a corporate or legal environment
  • Strong proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) and Microsoft Teams
  • Demonstrated experience in managing budgets and project plans
  • Exceptional attention to detail and organizational skills
  • Strong communication and interpersonal skills
  • Ability to work independently and as part of a team
  • High level of professionalism and discretion
Location and Reporting
  • This is a hybrid role based in our New York office.
  • This role reports to the Global Head of Communications.
