JOB SUMMARY

Under the direction of the Executive Program Manager, the Administrative Program Support 2 acts as the front line for the department and is responsible for providing front-office support for the Executive Program Manager as well as other areas/teams within Procurement Services.

DUTIES AND RESPONSIBILITIES

Duties include answering a busy multi-line phone and providing customer support, managing all office calendars, scheduling meetings on behalf of senior leadership, ordering/managing all office supplies, preparing various informational reports, completing tax exemption certificates, providing backup support for all requests for a certificate of insurance, oversee incoming/outgoing mail, assist with hotel and event procurement requests, and other office administrative duties as assigned to ensure the needs of the department are met.

MINIMUM QUALIFICATIONS
  • Bachelor's degree in Business or related field and two (2) or more years of related experience, OR an Associate's degree and four (4) or more years of related experience, OR six (6) years of related experience in a similar environment.
  • Ability to build and maintain good customer relationships.
  • Excellent written and oral communication, organization, and interpersonal skills.
  • Knowledge of, and ability to interpret state, federal, and University policies and procedures.
  • Experience with computers and Microsoft Office Suite.
  • Ability to work independently to analyze available information, draw conclusions and understandings, and present information effectively to supervisor and/or senior leadership.

  • PREFERRED QUALIFICATIONS
  • Bachelor's degree.
  • Demonstrated experience in a fast-paced, dynamic working environment in an administrative support functional area.
  • Experience with Jaggaer e-Procurement system, Kuali Financial System, or similar electronic purchasing systems.
  • Experience performing purchasing, accounts payable, travel, and related compliance functions.
  • Experience working in higher education or a similar environment.
  • Strong accounting experience with experience monitoring and reconciling financial accounts/reports.

  • APPOINTMENT TERMS

    This is a full-time, permanent position, working Monday-Friday 8:30 a.m. to 4:30 p.m. on the Storrs campus. The department is currently working under a hybrid schedule. This role will require you to work on-site on the Storrs campus Monday-Thursday and remotely on Fridays. This schedule may change subject to authorization and University policy.
