Job Summary
The University of Texas at Dallas (UT Dallas) has an excellent job opportunity for individuals looking to join our team as an Administrative Project Coordinator I. This role will provide administrative support to grant-funded projects and faculty success initiatives in the Office of the Vice President for Academic Affairs and Provost.

An array of day-to-day tasks will support the essential functions of project coordination. The core responsibilities focus on planning, coordination, communication, implementation, and evaluation to ensure success in the Office of the Provost projects and initiatives.

Minimum Education and Experience

Bachelor's degree in a related discipline and three years of administrative experience, experience related to the project area or any equivalent combination of education and experience.

  • Previous experience in higher education (preferably faculty development)
  • Previous experience with grants
  • Internal candidates will be given preference
Essential Duties and Responsibilities
Essential Duties and Responsibilities
  • Coordinate day-to-day activities of projects to ensure tasks are completed on time.
  • Serve as the primary point of contact by managing clear and effective communication with stakeholders.
  • Convene and facilitate meetings, including producing agendas and minutes.
  • Purchase materials and manage project budget and expenses.
  • Manage a repository of project documentation.
  • Assist with the development and maintenance of project websites.
  • Event planning as needed.
  • Collaborate with team members, partners, and other departments to ensure program goals are met. Coordinate efforts to avoid duplication and ensure resources are used efficiently.
  • Maintain accurate records, including program plans, reports, budgets, and correspondence. Prepare and distribute program materials.
  • Assist in creating and managing program(s) budgets. Monitor expenditures and ensure the program operates within budgetary constraints.
  • Generate regular reports on program progress, outcomes, and financial status. Ensure timely submission of reports to stakeholders.
  • Assist with compliance with organizational policies, guidelines and requirements.
  • Oversee the day-to-day program implementation. Ensure activities are carried out according to plan and address any issues that arise.
  • Other duties as assigned.

Additional Information
This position is full-time, with standard Monday - Friday, 8:00 am to 5:00 pm hours. The position may be eligible for a hybrid work schedule after in-person training for an appropriate length of time as determined by the supervisor.
