Why does the job exist?

The Administrative Services Coordinator Supervisor will:
  • Assign and directly supervise work of at least two (2) full time employees;
  • Manage leave requests, conduct annual performance evaluations and recommend disciplinary actions;
  • Interview and recommend selection of applicants and conduct training of personnel;
  • Plan, direct and coordinate supportive services of an organization, such as record keeping, mail distribution, telephone operator/receptionist, and other office support services;
  • Oversee facilities planning, maintenance and custodial operations as assigned.


How does it get done?

The Administrative Services Coordinator Supervisor is responsible for:
  • Assigning and supervising staff;
  • Approving leave requests, conducting annual performance evaluations and recommending disciplinary actions;
  • Conducting training of personnel as well as interviewing/recommending selection of applicants;
  • Providing career coaching/mentoring and arranging outside training opportunities;
  • Making well-informed, effective, and timely decisions perceiving the impact and implications of those decisions;
  • Listening/clarifying information as needed;
  • Identifying and analyzing problems, weighing relevancy and accuracy of information, generating/evaluating solutions and making recommendations;
  • Developing networks/collaborating to build strategic relationships and achieve common goals;
  • Directing on-going program evaluation and approving changes affecting the program;
  • Administrative support as assigned/necessary.


Who are the customers?

  • Directors Office, External and Internal Customers of Medical Assistance Division (MAD).

  • Experience monitoring incoming calls, responding and maintaining superior customer service for all internal and external customers;
  • Experience monitoring, maintaining assigned shared email boxes ensuring responses are provided in a timely manner;
  • Availability to work 8am - 5pm.


Minimum Qualification

High School diploma or Equivalent and two (2) years of experience in basic accounting, and/or business/office administration. Substitutions apply. See Substitution Table below.

Employment Requirements

Must possess and maintain valid driver's license.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some travel may be required. Occasional shift work and extra hours, including weekends and holidays. Must be able to lift 25lbs.
