Responsibilities

  • Responsible for the day-to-day administrative operations in the College of Motion Picture Arts (CMPA). Serves as member of the College's Executive Team, contributes to the team by scheduling meetings, taking minutes, setting agenda items, and following up/reporting on issues discussed. Works with the Dean to report on and coordinate the fulfillment of the College's goals, deadlines, and objectives.
  • Manages Dean's workflow, determines priorities, organizes the Dean's calendar, coordinates meetings and travel schedules.
  • Responsible for functions related to the Dean's travel arrangements and serves as the first point of contact for the dean. Resolves problems or routes to appropriate personnel. Drafts communications for the Dean to internal and external audiences.
  • Acts as the CMPA Contract Manager. Works with faculty, staff, and legal counsel to develop artist contracts. Provides support for residencies including artist payment, visiting guest travel and artist contracting.
  • Provides support to CMPA faculty search committees and tracks faculty progress toward promotion. Supports the college in the completion of Assignments of Responsibility and annual evaluations, outside activity reports, evidence of performance, Faculty Assignments, Commitments & Effort Certification Tracking (FACETS), compilation of award binders and leave activity.
  • Provides support in planning and coordination of special events, orders awards and certificates, and supports college initiatives by holding and using a University purchasing card.
  • Serves as CMPA Key Manager, Property Custodian, Security Coordinator, and Facilities troubleshooter for the college. Serves as the backup departmental representative for Travel, Procurement, and Human Resources during peak times. Assists with special projects to align with the goals and objectives of the College as needed.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

  • Strong organizational skills and the ability to multi-task.
  • Ability to communicate in a professional and succinct manner to represent the Dean and the College in correspondence to university and external partners.
  • Experience establishing working relationships with internal partners and external vendors/alumni/etc.
  • Knowledge of existing University policies, procedures, practices, and principles.
  • Ability to demonstrate critical thinking based in available information, considering input of others, and researching missing information in order to provide recommendations.
