This position serves as an entry level Administrative Operations Manager for the department. Specific duties and responsibilities will vary based on departmental needs . Responsible for personnel, payroll, computerized systems, telecommunications, facilities, and Department special projects. Serves as the administrative contact for all information requests. Supervises and trains all Department support staff and coordinates patient scheduling and treatment activities. Acts as a liaison between the Department Chief, departmental director, clinical operations administrator and physicians, patients, and staff with matters related to patient care and clinical operations; strategic planning of revenue generation with Department Chief, financial manager and clinical operations manager. Interacts between patients and the Department handling complex problems and customer satisfaction concerns; provides assistance with planning identification and team problem solving. These functions are performed in accordance with Georgetown University Hospital's philosophy, policies, procedures and standards.
Education
  • Bachelor's degree Business or Health Related field required
Experience
  • 3-4 years A minimum of three years of relevant administrative experience
Knowledge, Skills, and Abilities
  • Must have excellent written and verbal communications skills. Ability to work as a team player. Ability to interact well with physicians and patient families. Total computer familiarity. Must have prior knowledge of medical terminology Must be able to handle multiple tasks and communicate with several persons in a multilevel capacity. Particular importance is placed on excellent customer service to the patients being admitted, the families of those patients, and the admitting physicians.
  • Supervises day-to-day administrative activities operations and oversees operational development with regard to patient care and appointments. Coordinates the office operations with staff, ensures staff coverage. Assists and covers staff vacancies when necessary. Assigns work, monitors work flow, and establishes priorities for daily operations.
  • Responsible for processing payroll, personnel hire, termination, salary adjustments, and related documents. Manages Time/Attendance documents. Responsible for time sheet completion and submission.
  • Serves as the Administrator of the department's quality assurance program, presenting quarterly audit results. Ensures regulatory agency, registry, and payer compliance. Compiles appropriate statistical data and coordinates programs in accordance with business goals and objectives.
  • Serves as a resource to fiscal management and other administrative staff to develop/implement cost effective policies and procedures for all operational areas including bookkeeping, billing, insurance, fee schedules, credit/collections, purchasing, and data processing
  • Maintains all confidential personnel records and forms according to JCAHO and Georgetown University Hospital Human Resource policy. Responsible for timely filing of personnel transactions and facilitating the process with Human Resources. Maintains checklists of licensures and training requirements - updated annually. Ensures that tracking of employee required competencies are done in collaboration with clinical educator and managers in each area.
  • Liaison between Hospital Purchasing and department. Responsible for ordering all supplies and administering proper tracking process. Prepares all Expense Authorizations and Purchase Orders for processing. Maintains mandatory logs for patient parking and cab vouchers.
  • May serve as the on-site department personnel coordinator completing task such as access and security, building maintenance, IT resource coordination, equipment requisition and ordering.
  • May be responsible for the running, and management and review of various reports and queries for use and distribution inside and outside of the department.
  • Manages schedules for varied functions including, but not limited to staff, patients, students, providers, leadership.
