Client Services Manager Position Summary:

The Client Services manager is a crucial role toward the success of Atlanta Motor Speedway meeting its annual revenue objectives and following its guiding principles of creating memorable events, being remarkable, positively impacting the community and taking care of teammates. The ideal candidate will have a strong sense of teamwork and an others mindset in their support of the Business Development Executives and Corporates Events team.

The Client Services manager role has significant ownership throughout the Speedway Motorsports sales process that starts with managing up-to-date presentation materials, assisting in client presentations, continues with drafting contracts and legal review, then ends with working with other departments and outside vendors to fulfill contractual assets such as tickets, fan engagement space, hospitality areas, suites, credentials, signage and partnership recaps. The ideal candidate will be process-driven, have strong event planning and administrative skills, and confident to lead projects and meetings involving multiple internal and external stakeholders.

Primary Daily Responsibilities:
• Work with sales team and clients to fulfill contractual assets
• Manage and keep up-to-date presentation materials in the online management system (EPitch), ensuring all presentation materials tell a consistent and premium brand story.
• Maintain all digital sales resources - Salesforce (CRM), EPitch (Presentation Software), Basecamp (internal project manager), Hookit (Social Media measurement), Box (master asset library), Shutterfly/FlipBook
• Draft and review all department agreements
• Follow Speedway Motorsports processes to execute contract fulfillment and routing, department finances and budgeting (both A/R & A/P)

o Purchase Orders

o Bids & Quotes

o Certificates of Insurance

o Invoicing
• Manage all sponsorship signage deliverables

o Develop and manage asset tracking with all vendors

o Work with clients on all deliverables, including file delivery, third-party vendor deadlines, and processes for production and installation

o Submit internal credential requests
• Suite and Premium Hospitality Area Management

o Constructs and publishes suite guide including FAQs, Schedules, Upgrade Information, Facility Maps and Parking Instructions

o Inspects Suite level for cleanliness and condition prior to event and assigns necessary work orders

o Supervises ordering and re-ordering process with track catering

o Develops build-out, activation, and load-in plan with third-party hospitality vendors

o Handles customer concerns as necessary
• Manages all temporary event staff and volunteers - including scheduling, assigning of duty roster and creating detailed minute-by-minute schedules

o AMS Ambassadors - 40-50 people with three supervisors

o Suite & Hospitality Staff - 4-8 people

o Department photographer - 1-2 people

o Other event staff and interns - 2-4 people
• Co-manage the Corporate Event Coordinator along with VP of Corporate Sales
• Other duties as assigned

Skills and Minimum Qualifications:

  • Bachelor's degree or equivalent and three to five years' experience, preferably in the sports and entertainment industry
  • Excellent written and verbal communication skills, as well as demonstrated professionalism and diplomacy
  • A self-starter and highly motivated to succeed
  • A positive and can-do attitude
  • Exceptional organizational and project management skills with an ability to handle multiple assignments in a fast-paced environment with tight deadlines
  • Strong attention to detail
  • Command of Purchase Orders and Budgeting processes
  • Physical ability to lift and move heavy objects up to 50 pounds
  • Team player with a high level of integrity and customer service attitude
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Teams), Dropbox/Box, Docusign and Zoom
  • Hands on experience with Salesforce or similar CRM platform; basics to creating custom reports
  • Ability to work flexible hours including weekends and evenings
