The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Event and Administration Coordinator is a critical partner in driving the success of the department's educational and research initiatives. Focusing on strategic coordination and independent problem-solving, the Coordinator ensures that academic programs, events, and operations are executed seamlessly across multiple locations. Reporting to both the Director of Academic Affairs (DAAF) and the Associate Director of Academic Operations, the Coordinator will proactively align resources, support faculty, and engage with key stakeholders, including alumni. The Coordinator operates with significant autonomy, exercising sound judgment to anticipate needs, address challenges, and create opportunities for the department's continued growth and excellence.

The Department of Statistics at Columbia is one of the oldest Statistics Departments in the US. The Department currently comprises 40 faculty members, 73 PhD students, 600+ MA students, and 100+ undergraduate majors and minors. The department has been expanding rapidly and, like the University itself, is an extraordinarily vibrant academic community.

Responsibilities

Collaborating closely with faculty and administrative leadership, the Coordinator will:
  • Independently plan and execute high-profile academic events, including conferences, workshops, and symposia, managing 3-5 academic conferences (1-3 days) with 100+ attendees, 2-3 department-wide social events with 300+ attendees, and smaller events throughout the year with 30-50 attendees.
  • Engage faculty, alumni, and external partners to design events that foster collaboration and elevate the department's academic profile.
  • Research and make recommendations on vendors, venues, and relevant thematic elements to ensure events reflect the department's stature and intellectual leadership. Manage vendor relationships and independently liaise with the university's Procurement office as needed to ensure the department adheres to university procurement-related policies and processes.
  • Leverage alumni networks to support department programs, including mentorship opportunities, career development workshops, and guest lectures. Collect feedback and identify opportunities for collaboration that enhance the department's strategic goals.
  • Lead efforts to strengthen relationships with alumni and develop strategies that foster long-term engagement and support for departmental initiatives. Organize impactful events and communications that connect alumni to the department's mission and progress.
  • Create and curate marketing collateral and manage communications and promotional efforts to maximize visibility and participation.
  • Lead the development and management of event budgets, ensuring efficient use of resources while maintaining high-quality standards and compliance with university financial policies.
  • Provide comprehensive support across the department's two physical locations, ensuring seamless coordination of administrative services, faculty needs, and event logistics. Proactively address operational challenges to maintain smooth day-to-day functions.
  • Collaborate with faculty and the DAAF to ensure that academic and research programs meet the department's strategic goals. Coordinate academic schedules, research activities, and faculty resources to align with evolving priorities.
  • Managethe allocation of departmental resources, including space and scheduling, to ensure optimal support for academic activities. Resolve conflicts and adjust plans based on changing programmatic needs.
  • Maintain critical academic records and contribute to data-informed decision-making by preparing comprehensive reports to guide program evaluations and strategic planning.
  • Collaborate with IT, facilities management, and key internal stakeholders to secure the necessary resources for faculty and staff, supporting high-quality academic and administrative functions.
  • Perform other duties as assigned.

Minimum Qualifications
  • Bachelor's degree and 0-2 years of related experience.

Preferred Qualifications
  • Experience in academic operations, event management, or project leadership.
