Under the guidance of the Team Services Planning Manager (USA), the Team Services Planning Coordinator will support organizing internal operations and administrative matters within the Team Services department across three countries.

The key requirements will be to establish and maintain efficient working relationships within the department and across other functional areas, proactive communication and the sharing of information, systematic work processes, diligent record keeping, and any other administrative support required by Team Services colleagues.

They will need to ensure consistency in overall planning and services for participating teams and referees in the three host countries during the FIFA Club World Cup 2025™ and the FIFA World Cup 26™.

THE POSITION
The Team Services Planning Coordinator will be responsible for:
• providing administrative support for Team Services across operational concepts, policies, procedures and documentation;
• supporting in the coordination and reporting of all milestones by all team members;
• adhering to and assisting with the reporting of the Team Services budget, in coordination with all members of the Team Services department, as instructed by the Team Services Planning Manager;
• supporting interactions between functional areas for the delivery of services for all participating teams and referees through specific administrative functions (i.e. preparation of materials, reports, follow-ups and minutes, as needed);
• coordinating the overall recruitment, selection and training process for Team Liaison Officers for participating teams;
• leading the overall Team Services Volunteer project, recruitment, management and training in liaison with the Volunteer Management department;
• supporting overall IT project development and data input (Rate card project, Team Hub App, We Track) within Team Services and coordinating the delivery of all services to be provided to teams via the system;
• supporting the preparation and delivery of readiness exercises and training materials for tournament staff and volunteers, as advised by the Team Service Planning Manager and Senior Team Services Manager;
• assisting with preparations for any PMA inspection visits, as required;
• assisting the planning and execution of team and referee-related events, including Team Seminars and Team and Referee Workshops;
• representing Team Services at project planning meetings and other relevant activities, as required, while maintaining detailed minutes and reports;
• supporting with the overall planning and coordination of the Team Services team at the main Operation Center during tournament time;
• supporting the maintenance of other internal project management systems utilized before and during the tournament(s); and
• any other duties that may be assigned.

Work experience
• A minimum of two years of experience in event/project management, ideally at the international level.
• Proven track record in managing complex projects, including both pre-event planning and event implementation.

Languages
• Fluency in English (oral and written); any additional language skills a strong asset.

Technology
• Strong IT skills, including MS Office (Word, Excel, PowerPoint, Teams), Smartsheet and other planning tools.
